Position Title: Legal, Risk, & Sustainability Operations Coordinator

Location: Dallas or Austin (Hybrid)

 

About the Role:

Digital is seeking a meticulous, organized, and highly motivated individual to join our Legal, Risk, & Sustainability Team (LRS) as Senior Associate of our Operations – Legal, Risk, & Sustainability Team. This position will report directly to the LRS Operations Manager.

In this role, you will mature our legal, risk, compliance, and sustainability teams by building on and maintaining our departmental culture of efficiency and innovation.  This is a generalist role which involves managing and supporting projects and driving initiatives across the departmental teams, including Legal-Corporate, Legal-Commercial, Legal litigation & Compliance, Risk, and Sustainability. 

This position will require flexibility to adapt to changing priorities and business needs and must be able to work independently and proactively to identify areas of need. A high level of integrity and discretion in handling confidential information and professionalism in dealing with senior professionals inside and outside the company is key.

 

Primary Responsibilities:

Working closely with LRS Operations Manager:

  • Partner with FP&A to prepare and monitor departmental budgets.
  • Manage outside counsel and all LRS vendor relationships, including engagement, onboarding, policies, procedures, and training.
  • Maintain, update and enhance outside counsel management systems (SimpleLegal & SharePoint).
  • Manage the LRS vendor accrual process in coordination with Accounting.
  • Support ongoing global integration of E-Billing platform (SimpleLegal).
  • Support ongoing integration of E-Billing platform (SimpleLegal) and accounting platform (Yardi).
  • Primary responsibility for managing all aspects of the LRS team’s invoicing and purchase order (PO) processes, including:
    • Creating POs and invoice workflows in accounting system (Yardi) and managing approval workflows.
    • Communicating and follow up with Accounts Payable and other internal teams, as needed.
    • Managing all communications with vendors re: invoice inquiries and review.
    • Leading and managing initiatives to improve processes.

 

Other Responsibilities:

Working closely with LRS Ops Manager:

  • Support the development and implementation of a multi-year process improvement and technology roadmap, partnering with internal stakeholders.
  • Support implementation of KPIs and develop associated dashboards and reports, in coordination with EVP, General Counsel & the LRS leadership team.
  • Coordinate and manage team all-hands meetings and business partner meetings.
  • Coordinate and manage team offsites.
  • Support new hire on-boarding and training, new software training, and new process rollout training.
  • Support the selection and implementation of LRS department tools.
  • Assist with the curation and maintenance of knowledge management platforms.
  • Assist with the organization and maintenance of team records.
  • Assist with the maintenance and improvement of the LRS department’s SharePoint site.

 

Key Qualifications & Experience:

  • 3+ years’ experience with invoice management and E-Billing platforms (SimpleLegal preferred) in-house or at a law firm (both preferred).
  • Technology or real estate company experience preferred.
  • Experience in implementing, and maintaining legal department technology solutions (e.g., demand management, document management, contract management, E-Billing (SimpleLegal preferred), self-service contracting, e-signature, and knowledge management, etc.).
  • Excellent analytical, problem-solving and communication skills.
  • Proven track record of collaborating with cross-functional groups (e.g., Accounts Payable etc.) to set objectives and produce meaningful results.
  • Experience with O365/SharePoint, ServiceNow, Yardi, and SimpleLegal preferred.
  • Willing and eager to take on projects involving unfamiliar subject matter.
  • Prior experience developing forms, processes, policies, FAQs, etc.
  • Demonstrated ability to independently move projects forward by gaining support needed from stakeholders across the company and leading in a cross-functional role.
