Legal.io is working with a leading technology company to bring on an experienced Legal Ops Associate for a 6-Month Contract position (with potential to extend). The ideal candidate will have a background in eBillling, vendor management, and corporate governance. This is a hybrid position and the candidate will need to be in the San Jose, California office 1 to 2 days a week.

Knowledge Management and Department Filings

  • Assist with mail distribution, legal document intake/distribution, presentations, filing/scanning, and special projects
  • Assist in responding to requests for information and documents from internal and external auditors, customers, partners and other stakeholders
  • Assist with the corporate insurance renewal process, including collaborating with HR, Finance, Payroll, and other internal teams, and insurance broker
  • Assist with compliance and corporate governance matters for international and domestic subsidiaries
  • Manage domestic and international legal entities and maintain corporate records
  • Support corporate governance processes, including general record keeping, preparation of board and committee meeting resolutions, consents, minutes, and other materials
  • Support the administrative needs of the corporate legal department including signature administration, notarization, etc.
  • Support our attorneys in preparing and filing periodic reports with the Securities and Exchange Commission, including 10-Ks, 10-Qs, 8-Ks.
  • Support annual proxy statement and annual meeting process, including interfacing with Finance, HR and other internal teams, proxy solicitors, printers and other internal process partners
  • Assist with the preparation and collection of the annual D&O questionnaires

Outside Counsel & Vendor Management

  • Assist in developing, implementing, and managing vendor cost reduction strategies, including fee arrangement, strategies, onboarding and off boarding, payment processes and governance of billing guidelines
  • Assist in managing legal vendors (outside counsel and others) to optimize efficiency and reduce spend, while ensuring quality in services
  • Act as eBilling coordinator, including, but not limited to: identifying business process modifications and implementation of updates; invoice approval, gathering, entering and maintaining matter information, setting up firms in tool, matter-level budget entry, review, approval & enforcement, accrual collection and reporting; serve as primary point of contact for all support requests and company stakeholders, including Accounting, Audit & Finance; Timekeeper rate review; training attorneys, users and firms

Requirements:

  • 3+ years of broad in-house legal operations or paralegal experience.
  • Prior experience at fast growing company or legal consulting firm preferred
  • Prior paralegal and electronic billing experience
  • Prior experience developing forms, processes, policies, FAQs, etc.
  • Experience with change management and communications
  • Basic computer skills, including Google Suite, Adobe Professional, DocuSign, SimpleLegal, and other web-based applications.
  • Basic writing, researching, proofreading, and formatting skills.
  • Strong interpersonal, verbal and written communication.
  • California notary public certification highly desirable.
  • High degree of ethics and integrity and ability to exercise discretion and maintain confidentiality of sensitive information.
  • Adapts well to change; able to multi-task and make effective decisions in a fast-paced, deadline-driven environment.
  • Proactive self-starter who can manage their time effectively and work with general supervision.

Job Details:

  • Start Date: Immediate
  • Pay: $100,000 - $110,000 / annually
  • Length of Contract: 6 months - with potential to extend
