EXECUTIVE ASSISTANT – LEGAL TEAM

Position Overview

This position is part of Amphenol’s Corporate Legal Team and is located in Wallingford, Connecticut. The role is expected to be in-office (on average) 4 days per week and remote 1 day per week. The ideal candidate is a shared administrative resource for Amphenol’s Legal Team as well as the direct Executive Assistant to the General Counsel. The ability to anticipate, organize and summarize a high level of sensitive information is critical. Must be a self-starter who demonstrates flexibility, resourcefulness, and has the ability to work independently, as well as under pressure in a team environment. A high degree of confidentiality and professionalism plus attention to detail is required for someone to be successful.

Primary Duties & Responsibilities

  • Provide general administrative support.
  • Satisfy multiple ad hoc reporting and administrative requests from legal staff; compile complex information for inclusion in reports or presentation materials and prepare charts, graphs and tables as necessary.
  • Prepare presentations, business communications, data summaries, and other documents to support legal department.
  • Oversight of the accounts payable process for the legal team to ensure proper approval and payment of invoices, maintaining well-controlled vendor master file and filing system of invoices and payments.
  • Maintain executive’s calendar and plan & provide seamless logistical planning & coordination of executive’s travel plans.
  • Help prepare for key meetings, conferences and special events.
  • Perform basic bookkeeping & administrative tasks and work closely and collaboratively with other legal support staff in a deadline driven environment.
  • Drive special projects and assignments such as filing and retrieving corporate records, documents and reports; digitization of information & data management system; etc.
  • Research & conduct data to prepare documents for review and presentation by boards of directors, committees, and executives.
  • Managing switchboard by answering phones and routing calls to correct person or taking messages.

Experience & Soft Skill Requirements

  • College degree strongly preferred.
  • Strong PC skills, including Microsoft Office tools and MS Access, as well as advanced proficiency in Excel and PowerPoint.
  • Excellent interpersonal, organization, multi-tasking, oral and written communication skills. Must demonstrate flexibility, initiative, good judgment, resourcefulness, sense of urgency, and professionalism in dealing with confidential information.
  • Must be a self-starter with excellent time management skills.
  • Strong attention to detail, results-oriented, comfortable working in a fast-paced, deadline driven environment.
  • Must be able to provide timely, high-quality and accurate work product.
  • Ability to occasionally work overtime on short notice.
  • Performs other duties as assigned.
