Schedule: Monday through Friday 8a-5p, no weekends, Remote position with potential quarterly travel to the Orlando location for team meetings, Salary Exempt Position.

The Role You’ll Contribute

The Contract Specialist is responsible for the administration functions as it relates to the life cycle of a contract. This includes gathering relevant information, completing draft contracts utilizing templates, completing and submitting corporate compliance review documents, contract revisions and execution, maintaining contract repository, and contract renewals. The Contract Specialist also assists in ensuring that payment requests comply with contract requirements. Collaborates closely with the Legal department in the use of models/master agreements templates, maintains checklist(s) as needed to ensure completeness and compliance, and timely and accurately submits documents for corporate compliance review. Participates in training/guidance of health system staff and administration. Provides excellent customer service, and maintains quality metrics, including, but not limited to, contract turnaround time from initiation to execution, percentage of contracts needing additional requirements post corporate review, and results of customer service survey. Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all.

The Value You’ll Bring To The Team

Serves effectively as the primary contact with hospital administration in understanding the business, the use of models/master agreements, submission of corporate compliance review documents, and how to manage the contract life cycle.

Stays up to date with business practices to identify needs and process improvements and determines appropriate contract closeouts and terminations.

Completes model/master agreements, prepares and submits documentation for submission to AHS for Contract review, execution of contracts, and uploads contracts into contract repository.

Notifies contract owners in advance of contract terms to facilitate timely renewals. Assists in ensuring leaders have access and can view contracts on the AHS Contract Management System.

Obtains Fair Market Value (FMV) information, using AHS tools, required to support contract terms.

Assists in ensuring that payment requests comply with contract requirements. Assists new clients and vendors with contract administration process.

Organizes and maintains contract files and database to track contracts and related documents.

Adheres to Federal, State and local regulation (including HIPAA, Anti-kickback laws and Stark) as they pertain to assigned tasks.

Produces monthly or periodic contract status reports. Tracks and records quality metrics related to contract life cycle, and reports on these metrics on a regular basis.

Collaborates closely with the Legal department and Corporate Responsibility to ensure effective contract management.

Qualifications

The expertise and experiences you’ll need to succeed:

  • Bachelor’s degree in English, Political Science, Humanities, Math, Science or a related field OR associate degree in a Legal field OR a paralegal Certificate
  • Three years of experience in drafting contracts, or contract life cycle management
  • High level of accuracy, attention to detail, and excellent writing and proofreading skills
  • Ability to use discretion when discussing issues that are confidential in nature
  • Responsive to ever-changing matrix of hospital needs and responds accordingly
  • Ability to work independently
  • Proficiency with Microsoft Word, Outlook, PowerPoint and Excel
  • Ability to effectively manage and prioritize a high-volume workload and work well under pressure in a fast-moving environment
  • Ability to learn quickly and commit to process improvement and customer satisfaction
  • Maintains working knowledge of contract law, its applications and AdventHealth policies
