Position Summary The Legal Administrative Assistant primary responsibility is to provide administrative support to corporate counsel in activities related to real estate acquisitions and dispositions. Essential functions will include assisting in-house and outside legal counsel, development directors, NWAP real estate brokers, property management, real estate accounting, and other parties with legal support, as well as filing, scanning, copying, answering calls and email, drafting and editing documents, processing invoices, and performing other duties, as assigned by Corporate Counsel.

Job Duties/Essential Functions · Works closely with inside and outside counsel to coordinate closings and acquisitions and leases, including organizing closing documents and preparing and tracking wires for required payments. · Works closely with real estate accounting, tax and energy departments to resolve issues related to real estate development and property management. · Drafts complex legal site acquisition and land development documents and correspondence, including letters of intent and contract amendments. · Reviews documents, extract, disseminate, and track critical date information (deposits, feasibility, approvals, permit periods, closing dates, rent commencement, and other trigger dates). · Interprets development, acquisition, and governing documents after closings. Compiles executive property summaries to be used by construction, property management, and other departments and location managers. · Responds to internal and external inquires on a broad range of real estate related matters, such as trigger dates, lease terms, use restrictions, parking requirements, estoppel certificates, ROFR, and options to purchase. · Maintains and organizes real estate contract, policies, forms, presentation slides, spreadsheets, and shared documents using Microsoft Suite Adobe Acrobat, Foxit PhantomPDF, SmartSheets, and Google tools and platforms. · Locates items such as designated areas, easements or other items on ALTA surveys and site plans. · Maintains SmartSheets database tracking future assets and liabilities resulting from land acquisitions/leases. · Performs administrative duties (arranging travel; completing and submitting expense reports; cost coding, processing and tracking invoices (including calculation of Canadian taxes); researching and obtaining information on various topics as requested). · Completes other clerical and administrative tasks as assigned. · Backs up real estate administrative assistants and front desk receptionist. · Regular and reliable workplace attendance at your assigned location. _ _ Ability to operate vehicles, equipment or machinery · Computer, telephone, copier/printer, fax

Required: · At least seven years of relevant legal assistant and/or paralegal experience. · Strong familiarity with contracting processes and real estate documents. · Proven and reliable ability to maintain confidentiality in all legal matters. · Proactive attitude, high engagement, and a strong interest in learning. · Proven ability to be professional and congenial, and to adjust positively to changes in direction and/or assignment. · Advanced skills using Microsoft Office suite, Google tools, Adobe Acrobat, and Foxit PhantomPDF. · Strong attention to detail and interpersonal skills with an emphasis on written and verbal communication. · Well-organized, able to identify and prioritize tasks, excellent troubleshooting skills, and ability to successfully manage multiple projects. · Ability to make sound critical decisions and accept responsibility for those decisions. Recommended: · Paralegal certificate a plus. · Experience with real estate transactions or prior experience drafting and reviewing real estate documents preferred. · Relevant experience in an in-house legal department preferred. · High School Diploma or GED preferred.
