Job Summary:
This role provides day-to-day support to attorneys and legal professionals, with primary duties directed to the needs of The CooperCompanies Labor & Litigation legal team members based in Victor, New York. Responsibilities include preparing, organizing, and managing electronic and non-electronic legal documents, assisting with data entry for new matter intake, providing clerical support, phone communications, general administrative work, coordinating travel reservations, preparing expense reports, scheduling meetings and events, Litigation tracking/reporting, communications with outside counsel, internal clients and other stakeholders. Responsibilities may vary widely from day to day.
Responsibilities
- Provide general administrative support
- Administer and maintain various document storage and management systems
- Data entry, tracking and collecting departmental metrics and reporting
- Create PowerPoint presentations and resource materials in support of meetings, trainings, and programs
- Assist in actively managing schedules, contact lists, and files
- Compose memos, letters, and other correspondence
- Answer/direct incoming calls and email inquiries
- Quickly identify, prioritize, and resolve problems
- Schedule meetings and supporting calendars using Outlook and Google calendar
- Arrange domestic and international travel and managing expense reporting
- Assist with setting up vendors and law firms in e-billing system and processing legal invoices
- Organize group events and meetings
- Handle various Legal Department requests and see them through to completion
- Manage deadlines and the case/matter calendar
- Other duties as assigned.
- Issue various notices and maintains records
- Provide timely assistance to outside counsel as requested
Qualifications
Knowledge, Skills and Abilities:
- Excellent organizational and time management skills
- Strong written and interpersonal communication skills
- In-depth working knowledge of Microsoft Word, Excel, and PowerPoint
- Ability to prioritize and complete multiple assignments in an accurate and timely manner
- Willingness to learn and adapt to department needs
- Reliable, punctual, and professional
- Team player with a positive attitude
- Strong typing, basic drafting and proof reading, and at least some transcription experience
- Excellent organizational and time management skills
- Strong interpersonal skills
- A law firm or in-house background in Litigation and/or Labor and Employment Law or equivalent experience.
- Minimum of 5 years of experience in an administrative position in a legal environment such as a law office or in-house legal department or equivalent experience.
- Paralegal certification not required, but an asset
- Top notch communication skills (including in person, telephone, email, and correspondence) and ability to provide prompt and responsive customer service to wide range of internal clients and stakeholders
- Requires a positive attitude, willingness to learn, and proactive problem-solving approach to challenging situations
- Must have a firm understanding of, and strict adherence to, confidentiality and privilege considerations, professional discretion and sound judgment
- Commitment to ethical conduct, professionalism and collegiality
Work Environment:

- Prolonged sitting in front of a computer
Experience:
- Minimum of 5+ years' experience in an in-house or law firm litigation environment; or equivalent experience
- Demonstrated track record of experience in project management
- Experience in delivering high quality, positive customer service is required
Education:
- Associates or Bachelor’s degree preferred, or equivalent years of experience.
- Paralegal Certification an asset

_ For U.S. locations that require disclosure of compensation, the starting base pay for this role is between $66,767.00 and $ _89,023.00 per year and may include cost of living adjustments. The actual base pay includes many factors and is subject to change and modification in the future. This position may also be eligible for other types of compensation and benefits.
