Summary

Provide secretarial, word processing, administrative, and clerical support for a partner and three or more associates.

Essential Duties and Responsibilities : Including but not limited to the following:

  • Create documents from handwritten or printed materials (all documents and correspondence are produced on personal computers)
  • Establish and maintain effective communication via telephone and in-person with lawyers, clients, administrative staff, and others
  • Maintain filing system, arrange meetings, conferences and travel plans, manage travel and expense reimbursements, and submit both billing and time entry forms daily
  • Handle client billing
  • Handle confidential and personal matters as directed
  • Maintain daily and advance calendars for attorneys
  • Occasional work on a substitute basis for one or more lawyer

In addition, responsibilities related to maintaining Firm and client informationare to be adhered to by all employees. This includes complying with the Firm’s information security policies, protecting Firm assets from unauthorized access, disclosure, modification, destruction or interference, and reporting security events or potential events or other security risks to management.

Qualifications

  • Accurate typing and word processing skills, including proficiency with Microsoft Office programs (Legal Word, Outlook, Excel, PowerPoint), Elite 3E, and Chrome River
  • Proficiency with time entry programs, preferably InTapp
  • Excellent spelling, grammar and communication skills
  • Five to ten years prior legal secretarial experience, including familiarity with forms and documents used for mergers and acquisitions and other transactional work
  • Ability to understand and follow instructions and work productively with limited supervision
  • Regular attendance and acceptable punctuality
  • Availability to work overtime as needed
  • Ability and willingness to learn new procedures and technology

Education And/or Experience

College degree from a 4-year college or university or equivalent work experience.

Compensation

The base salary range offered for this role will be between $65,000 and $80,000. When determining a candidate’s compensation offer, elements unique to each person are taken into consideration including but not limited to skill set, experience level, performance, professional certifications, degrees and location, as well as the needs of the Firm.
