Cozen O’Connor has an excellent opportunity for a dynamic, full-time Legal Practice Assistant in our Washington D.C. office.
The ideal candidate is an enthusiastic self-starter, who is able to multi-task under strict time constraints with exceptional attention to detail, take initiative, think strategically and independently and interact with all levels of the firm. The position requires excellent communication, organizational and computer skills.
Job Duties and Responsibilities:
- Provide administrative support for paralegals and attorneys
- Answer client phone calls and schedule appointments and events
- Communicate with clients regarding appointments and other matters related to cases
- Process attorney daily time summaries, expense reports, check requests and travel arrangements
- Coordinate and calendar all pertinent meetings and associated deadline, including but not limited to client meetings, hearings, court dates, depositions, arbitrations, mediations, court reporters, conference calls and client tasks per firm guidelines
- Assist attorneys with client billing using the firm’s program
- Draft correspondence to clients and judiciary
- Open and sort incoming communications via standard or electronic delivery and distribute appropriately
- Proofread all work for both content and context
- Process and follow up with vendor invoices as needed
- Organize, prepare and maintain client and office files both in electronic and paper filing systems
- Prepare and submit new client and/or new matter forms and sub-files
- Closing folders or similar
Qualifications and Requirements:
- High School Diploma or equivalent required
- 2-5 years of experience as an administrative assistant or legal assistant in the areas of corporate law and general litigation
- Typing skills of 75+ w.p.m.
- Must possess strong organizational and communications skills, both verbal and written
- Must be detail oriented and able to multi-task
- Strong document processing and project management skills
- Proficient in advanced levels of Microsoft Outlook, Excel, Word and PowerPoint and the use and application of Styles, Redlining, Adobe Pro and PDF Docs4, Docusign, Project management software, Virtual data room platforms such as HighQ or DataSite.
- Must be familiar with setting up and processing Tables of Contents and Tables of Authorities
- Outstanding written and verbal communications and able to professionally interact with clients, attorneys, and staff
- Experience with document management program (iManage DeskSite preferred)
