Job Summary
The Legal Operations Specialist is responsible for designing and implementing strategic, practical, and effective solutions and process improvements across Square Enix Inc’s Business & Legal Affairs Department, including Square Enix’s subsidiaries and its other affiliated corporate entities located in the United States, Canada and the United Kingdom.
Essential Duties and Responsibilities

Manage and maintain the internal contract management system “CMS” database, including significant data entry, updating of company information, contract information, request information, etc.

Organize physical files, records, upload them to the database, and migrate them to the CMS system (if needed) following established procedures; update such procedures as required.

Define, implement, and launch new CMS workflows.

Schedule meetings, events, and conference calls.
-
Implement and maintain procedures and practices within Legal to promote efficient workflows and handling of legal requests throughout the organization.

Help implement new tools for the legal team and maintain existing tools.

Assists in tracking, compiling, and analyzing metrics on contracts and legal workflow processes.

Troubleshoot contract management system errors and maintain all aspects of the active CMS.

Assist with the creation of training manuals for all legal processes and tools.

Assist with overflow work as requested.

Provide backup support to other support staff within the department.

Ad-hoc projects and general administrative support as required.

Other related duties as required.
Knowledge, Skills & Abilities
-
BA or BS or equivalent commensurate work experience
-
2+ years of Legal Operations or technical work experience
-
Experience with implementing legal operational tools
-
Computer proficient with Microsoft Word, Excel, and contract management systems

While performing the duties of this job, the employee is regularly required to talk, hear, see, and move around the facilities. This would require the ability to lift files/boxes, open filing cabinets, file, bend, twist, stand on stool as necessary. Must be able to lift up to 20 pounds. This expectation holds true for the current work-from-home environment.
