The Chief of Staff and Head of Legal Operations will report to the Company’s General Counsel and will handle all administrative matters relating to the Legal Group and the delivery of legal services to internal clients, including administrative matters pertaining to finances and budgeting, outside counsel and other vendors, and the legal department’s utilization of information technology.
Responsibilities
- Develop, revise, and oversee the Legal Group’s policies and procedures.
- Manage outside counsel bills, including reviewing and negotiating bills and billing arrangements ensuring that standards for service, delivery and costs are met.
- Act as the primary user and administrator for the Legal Group’s billing software tool.
- Liaise with General Counsel in staff management of the Legal Group including hiring, compensation and performance evaluations.
- Review legal department financial reports, accounts payable, and work-in-process reports in order to update the General Counsel regarding the department’s short range outlook and the efficient delivery of legal services to internal clients.
- Partner with the General Counsel to ensure projects/processes are moving forward, deadlines are being met, and the leadership team is apprised of status on projects or initiatives.
- Serve as key legal department liaison with the Company’s Accounting, Human Resources, and Information Technology Departments and other Company Management to ensure maximum collaboration and minimal overlap with regard to budgeting, hiring and managing of legal department staff, the utilization of information technology, and the legal department’s overall compliance with corporate directives.
- Coordinate global planning related to the legal department’s use of technology, services and processes, including existing and potential technology/process approaches. Effectively interact with the Company’s IT Department and other Legal Department personnel in planning and implementing new technology projects and software changes.
- Manage Legal Group meetings, including preparing and presenting materials for participating in internal meetings, committee meetings, or the meetings with management of other Departments.
- Manage coordination of delivery of relevant continuing legal education and training program for attorneys of the Company.
- Coordinate the delivery of service from and maintain contracts for of all vendors and service providers to minimize overlap and reduce cost.
Qualifications
- Preferred minimum of 7+ years of experience in a project management, operations or technical role, preferably within a professional services or consulting organization.
- Bachelor’s degree required.
- Previous legal/paralegal experience preferred.
- Experience managing financial, IT, HR, and other administrative or operational projects.
- Experience negotiating a variety of vendor and supplier contracts.
- Experience managing the RFP process for hiring outside counsel and setting up processes for reviewing invoices from outside counsel.
- Experience with employment and human relations issues pertaining to annual evaluations, performance reviews, compensation issues, hiring, terminating, training, and continuing legal education of legal staff.
- Experience using and managing technology processes, procedures, and programs utilized by in-house legal departments.
- Experience with Oracle and Legal Tracker (Legal billing software) or equivalent preferred.
- Very strong financial and analytical skills.

- Ability to maintain strict confidentiality.
- Self-starter who is capable of managing multiple projects and meeting deadlines.
- Proficient in Microsoft Office (Word, Excel, Outlook).
