This purpose of this role is to oversee and lead, if necessary, programs/projects and initiatives related to the following areas: Matter Management, Vendor Management, and Financial / Invoice Management for the Global Legal function.  Focus should be on strategic planning, development, implementation, continuous improvement and budget oversight as it relates to the above areas and the services that Legal Operations provides to that area. 

The Sr. Program Manager needs to facilitate agreement across practice leads and support functions, including Finance and IT, to a set of systems, processes, and deliverables with prioritization and alignment across Legal Operations activities. Individual should act as a collaborator, partner, and liaison between Legal Operations, the services that Legal Operations provides, and the practice areas within Legal.

The candidate should be a motivated self-starter with both operations and project management experience enhanced by strong technical, organizational, and facilitation skills.  To be successful, the incumbent must work well in a matrixed environment, be a respected team leader and team member, clearly communicate and deeply collaborate across the entire organization.

There is a preference for this position to reside in our Fridley, MN office and follow the hybrid work model, but open to remote work or other Medtronic location for preferred candidate.


A Day in the Life

Responsibilities may include the following and other duties may be assigned.

  • Provide strategic direction for management of vendors utilized by Global Legal with an eye towards strengthening relationships, maximizing value to Medtronic, and optimizing spend:
      • Oversee Fusion/MP3 program administration in conjunction with steering committees and other stakeholders
      • Work with a variety of stakeholder groups (legal and non-legal) to ensure consistency in use and engagement of legal vendors
      • Help ensure vendor alignment with Medtronic’s Inclusion, Diversity, and Equity (IDE) requirements
      • Serve as escalation point for concerns raised by vendors or internal stakeholders across the vendor lifecycle
      • Work out issue in a collaborative and inclusive manner to get to the best possible solution.
      • Serve as point of escalation for any program/system management issues
  • Support continuous refinement of all vendor-related processes, policies, and procedures, including but not limited to, vendor setup, matter setup, billing guidelines / protocols, budgeting, forecasting / accruals, and invoicing
  • Serve as liaison to legal technology team on all matter management and financial related solutions
      • Streamline workflows and drive on-going updates to configuration of relevant systems
      • Provide direction, as needed, to other operations resources on the use of relevant systems
  • Develop and administer a holistic performance evaluation program for vendors, tailored to the type of vendor and scope of their engagement
  • Lead efforts to streamline reporting related to vendor performance and expenditures, with an emphasis on increasing visibility and automation
  • Participate and present at relevant department leadership meetings
  • Work with other operations stakeholders to prioritize projects and ad-hoc requests
  • Responsible for planning, initiating, monitoring, tracking and/or prioritizing legal projects and process improvement initiatives and facilitating successful, on-time and within budget execution.
  • Sets clear direction and management objectives that aligns with defined practices and policies and enhances the organization's corporate legal initiatives as well as a wide range of projects which depend on legal expertise throughout the organization
  • Interacts and works closely with multiple external partners and internal departments, such as but not limited to Finance, Sourcing, Litigation, and Compliance to ensure legal compliance and uphold the organization's legal interests.
  • Directs day to day activities for multiple indirect work-stream teams through managing project plans, resourcing, status reporting, resolving issues, identifying project risks and accountability for deliverables across multiple functional organizations.
  • Responsible for project performance, risk management, administration, financial management, budgeting and issue resolution.
  • Acts as the business owner of the technical systems used within that practice area; working with IT, the vendor, and stakeholders to ensure optimized use and management of the system and its data. 
  • Support key operations initiatives beyond legal financial management as needed
  • Works with finance to ensure planned system costs are included in AOP
  • Works with practice areas to properly set AOP, Forecasts, and Targets as appropriate
  • Identifies opportunities to leverage technology solutions to gain efficiencies
  • May have budget accountability for one or more programs.
  • Program decisions are generally made only after consultation with higher level management.
  • Problems faced are difficult, and require detailed information gathering, analysis and investigation to understand the problem.
  • Problems typically impact multiple workstreams, departments or specialties.
  • Solves issues through information exchange, influence and active persuasion without direct exercise of command to gain cooperation of other parties on program execution plans.
  • Leads, directs and reviews the work of a team of professionals and/or vendors who exercise latitude and independence in their assignments.
  • Direct involvement in daily tasks as needed for successful program execution.
  • Not directly responsible for hire or fire decisions and people management.
  • Travel requirement: 10-20%
 
Must Have: Minimum Requirements
  • Bachelor’s Degree with 7+ years of legal operations, program/project management and/or process improvement experience, or, an advanced degree with 5+ years of experience

 

Nice to Have

  • Advanced degree 
  • Bachelor’s Degree in Legal, Business, Finance, or IT
  • Proficient in and experience with Process Mapping, Project Management, and Lean or Six Sigma principles, concepts, practices and standards
  • Understanding of Finance and Accounting concepts and experience analyzing financial data
  • Requires practical knowledge in leading and managing the execution of processes, projects, programs and tactics as it relates to Legal Matter Management, Vendor Management, and Financial / Invoice Management.
  • Typically has advanced knowledge and skills within a specific technical or professional discipline with understanding of the impact of work on other areas of the organization.
  • Experience with Word, Excel, PowerPoint
  • Relevant Law Firm, Corporate Legal Department or professional services, operations and management experience
  • Experience working within a matrixed environment
  • Experience in managing by influence
  • Ability to build relationships and gain the trust of the practice leads, attorneys, and support staff
  • Experience accomplishing goals through others and providing work direction, coaching and/or guidance to project teams
  • Results oriented.  Ability to identify and drive resolution of issues in a proactive, creative, and collaborative manner.
  • Continually seek opportunities to increase stakeholder holder satisfaction and deepen relationships.
  • Excellent oral and written communications skills, including Executive level updates
