Duties & Responsibilities

The Legal Operations Manager will be responsible for the following: 

 

Finance & analytics activities:

  • Liaise with Finance on Legal spend reporting within and outside Legal function
  • Collaborate with finance to enable regular views of rolled-up actuals costs, evaluate spend vs budget and ensure proper allocation of costs (Collective Budget approach including Plan, Forecast, monthly Actuals, Accruals, Expense reviews)
  • Support annual budgeting process for the Legal and Compliance department
  • Identify requirements, define and provide newly available contract metrics
  • Drive analysis and creation of other metrics for the Legal & Compliance department such as: litigation/outcomes metrics, firm rates, Legal function scorecard
  • Benchmark department practices (e.g., overall spend, spend on technology, hiring and staffing, outside counsel spend and selection, etc.) against industry standards and produce dashboards / reports on the same along with any recommendations to improve efficiency and lower costs
  • Take an active role in driving the digitization of the Legal department, leveraging technology / AI for metrics, analytics and improvement of existing processes
  • Support Law Firm RFP activity and manage associated vendor
  • Lead or support general Legal Operations projects as assigned (for e.g. ad hoc analytics requests from Legal leadership, support the assessment of work allocation within the legal function, vendor management, etc.)

 

Knowledge Management activities:

Perform outstanding KM system implementation related tasks:

  • check in / monitor / support users with migration of documents
  • run training sessions for local teams to help them understand how they can use NetDocuments for their local work
  • clean up user access to specific cabinets or sections of cabinets
  • User adoption review with User X team

 

Day to day activities going forward as system owner of the KMS platform:

  • Maintenance of users / license additions and removal (periodically for new hires and leavers)/ monitoring
  • Training of new users
  • Assist leadership in strengthening of filing governance
  • Promote adoption of the tool:
      • run refresher trainings if necessary to accompany users and encourage adoption – as needed
  • Invoicing queries liaising with vendor if necessary
  • Vendor liaison:
      • System down
      • System notices
      • Vendor service line monitoring
  • Monitor adoption metrics on an ongoing basis

 

Review & optimize Knowledge Management platforms & resources for renewal and budgeting process:

  • Assess the needs and select the right KM platforms going forward
  • Facilitate and support Continuous Legal Education (CLE) - planning of CLEs and ensuring visibility through OneLegal Teams channel and SharePoint for all learning that is useful for the teams’ growth
  • Optimizing, planning, and executing refresher training for Subscriptions and other KM related resources
  • Facilitate and strengthen cross border collaboration and breakdown geographic silos (OneLegal) through knowledge sharing

 

Assist with project-related needs upon request and perform other duties as assigned. This job description may be revised to add other legal operations duties:

Employee specification:

  • University Degree
  • Familiarity with Legal Function and/or finance management processes, ideally both.  
  • Excellent team player and self-starter with ability to work proactively and co-operatively with others
  • Strong organisation and prioritization skills
  • Meticulous attention to details
  • Learning agility including ability to learn quickly and independently solve problems
  • Excellent verbal and written communication skills
  • Fluent English language skills essential – further language(s) beneficial
  • Good technical skills – proficiency with Microsoft Word, Excel, Outlook, PowerPoint, Teams and Adobe PDF and online research tools. PeopleSoft and Sharepoint site management knowledge and experience would be an advantage.  Candidates do not need to have existing knowledge of those systems but would need to learn quickly
