PRIMARY DUTIES AND RESPONSIBILITIES:​
- Working with the Sr. Director of Legal Operations, assist management in preparing the annual fiscal-year budget and long-range plan.
- Assist in the development of compelling narrative when advocating for budget needs.
- Provide regular outlook reporting, variance analysis, performance against plan.
- Oversee accruals process to ensure proper financial reporting.
- Partner with finance to support preparation of accurate spending forecasts and identify spending trends and potential efficiency opportunities.
- Support creation and regular distribution of timely reports to department leaders and attorneys.
- Develop polished presentations of data, metrics, narratives for quarterly business reviews.
- Working with Sr. Director of Legal Operations and the IT Analytics team, create and maintain easy-to-understand dashboards that effectively communicate statuses of department spend and trends to department leadership.
- Create and maintain rolling monthly report of new hires, open positions, and departures, including budget impact.
- Support Legal Operations Team on driving strategic projects to streamline ebilling processes and improve forecasting.
- Support implementation of best-in-class practices in legal operations finance and outside counsel management Work with Sr. Director of Legal Operations to develop and maintain standardized processes for rate approvals and rate increases, including maintaining documentation of all outside counsel and vendor agreements.
- Join regular meetings with key attorney leads to discuss budget statuses, needs, and projections for their specific areas.
- Drive invoice review and approval efficiencies.
- Minimize the amount of time attorneys and legal specialists spend on reviews and administrative tasks pertaining to billing, invoicing, and other aspects of finance.
- Serve as the “go to” department resource for resolving cost center questions and ambiguities.
- Supports and participates in department initiatives related to outside counsel management, billing guidelines/engagement letter updates, matter analysis, metrics and benchmarking, team conferences, vendor rate analysis, billing compliance, and more.
- Maintains a high level of professionalism; handles sensitive/confidential information with appropriate care.
- Manage legal operations financial staff as assigned; deliver clear expectations, and provide ongoing coaching, develop staff, and promote a positive work environment.
- Participate in industry conferences and other knowledge-sharing forums to introduce innovative solutions to the legal department.
What your background should look like
EXPERIENCE AND EDUCATIONAL REQUIREMENTS:
- Bachelor’s degree in business administration, finance, accounting, or equivalent work experience.
- 5+ years of progressively responsible experience in legal operations, finance, or similar roles. Experience in a law firm or legal department setting is strongly preferred.
- Hands-on experience managing a large fiscal program. Comprehensive understanding of budgeting, forecasting, and resource planning, and ability to work closely with the finance and accounting departments.
- Proven track-record of strong leadership and communication abilities and driving results in a team environment.

- Ability to leverage legal ops peer groups to determine best practices.
- Adept at technical tools, including Word, Excel, PowerPoint, Microsoft Teams, and document sharing and e-signing tools.
