** **Position Overview:

** The Legal Administrator provides legal and high-level administrative and professional support for the Legal Department. This position requires a professional, highly motivated individual who thrives in a fast-paced and challenging environment. The individual must possess strong communication and interpersonal skills, the ability to work collaboratively with the Legal team, and a familiarity with legal processes such as annual reports, licensing, NDA’s, and responses to litigation information requests.

**_Because CJ Logistics loves collaboration and a team environment, this is not a remote position. This role is located at our Corporate Office in Des Plaines, IL, and requires that candidates live within a commutable distance.

_** **Essential Duties & Responsibilities

** **Legal Duties
**

  • Edit and proof legal documents; compose letters, memos, and other communications as requested
  • Prepare and facilitate mailings and key correspondence (i.e., WARN letters, vendor terminations, etc.)
  • Review and edit customer and vendor-related documents (i.e., NDA’s, purchase agreements, etc.)
  • Draft internal legal documents such as board actions and resolutions
  • Leverage Procurement software to manage and maintain vendor agreements
  • Apply for and renew business licenses and Certificates of Good Standing for various entities in all relevant states and counties
  • Complete annual report filings for each business entity in all relevant states
  • Provide legal documents as required by Finance, Sales, and Operations (i.e., copies of leases, customer agreements, etc.)
  • Manage outside counsel invoicing process
  • Create and edit PowerPoint presentations
  • Assist with special projects
  • Maintain an advanced degree of confidentiality

**Administrative Support
**

  • Provide day-to-day administrative support including screening phone calls, managing calendars, coordinating meetings and conference calls, copying and filing as needed
  • Prepare and route documents for electronic signature
  • Occasional Coordination and set-up of meals and catering for special meetings
  • Printing, binding, and distribution of presentation materials
  • Expense report processing for the Legal team
  • Coordinate and secure travel arrangements as needed
  • Build and cultivate positive relationships with other assistants, colleagues, and clients
  • Possess proactive skills to anticipate needs and have strong time management skills
  • Needs to be approachable, flexible, patient, courteous and diplomatic
  • Transpose or prepare executive meeting notes, action items, flip chart recordings
  • Organize and maintain comprehensive paper and electronic filing systems
  • Additional duties as assigned

**Requirements And Qualifications
**

  • Bachelor’s degree, equivalent experience, or paralegal certificate
  • 3+ years of legal or related corporate experience
  • Ability to work from the Corporate home office 4 days per week with remote work 1 day per week
  • Exceptional attention to detail with a creative mindset
  • Self-directed, with a strong work ethic and a willingness to learn
  • Ability to work in a team environment, build partnerships, and work cross-functionally
  • Appreciation for process design, implementation, and improvement
  • Analytical orientation and intellectual curiosity
  • Excellent interpersonal, verbal, and written communication skills with the ability to work effectively with all levels of personnel
  • Must be approachable, flexible, patient, courteous, and diplomatic
  • Ability to maintain confidentiality and function independently
  • Highly organized, able to prioritize and multitask efficiently in a fast-paced environment
  • Strong proficiency with Microsoft Excel, Word, and PowerPoint is required
  • Strong technical ability is preferred
  • Ability to respond to ad-hoc calls outside of standard business hours
  • Commissioned as a Notary Public is preferred
