Schedule: 35 hours per week | Monday–Friday | 10:30 AM – 6:30 PM PST (flexibility/overtime as needed)
Compensation: $35–$37 per hour, based on experience
Job Summary:
We are seeking a highly organized Litigation Workflow Coordinator to support a fast-paced litigation team during Pacific Time business hours. The ideal candidate is a proactive professional with a strong background in legal operations, task delegation, and workflow management. You will oversee task distribution, monitor progress, ensure deadlines are met, and maintain workflow efficiency across multiple teams.
This is a hybrid role based in Phoenix, AZ, offering a unique opportunity to drive operational excellence in a collaborative legal environment.
Key Responsibilities:
Workflow Management & Coordination:
- Assign, distribute, and track legal administrative tasks to ensure timely, high-quality completion.
- Monitor workload distribution among legal assistants and support staff; adjust assignments to meet evolving deadlines.
- Act as the central point of contact for workflow inquiries and escalations.
- Follow up on outstanding tasks, holding teams accountable to priorities.
Legal Support & Delegation:
- Coordinate litigation workflows, ensuring compliance with firm policies and deadlines.
- Support document preparation, review, and filing across multiple teams.
- Prioritize tasks based on case urgency and legal requirements.
- Streamline collaboration between attorneys, paralegals, and administrative staff.
Communication & Collaboration:
- Serve as a liaison between legal teams and support staff to maintain seamless operations.
- Provide regular task progress updates and flag potential bottlenecks.
- Recommend improvements to workflow systems and communication protocols.
- Manage hand-offs across time zones to ensure uninterrupted task execution.
Process Optimization & Compliance:
- Maintain and refine delegation protocols to optimize efficiency.
- Ensure legal documents meet firm standards, compliance guidelines, and best practices.
- Recommend tools, technology upgrades, or strategies to improve task tracking and workflow automation.
- Handle sensitive and confidential information with discretion and professionalism.
Qualifications & Experience:
- Education: Bachelor’s degree preferred; equivalent experience will be considered.
- Experience: Minimum 5–8 years in legal operations, litigation support, or workflow coordination.
- Strong background in task management, delegation, and follow-up in a legal environment.
- Familiarity with litigation processes, legal terminology, and document management workflows.
- Expertise in document revision, docketing, and e-filing.
- Experience triaging new litigation matters as they come through the pipeline.
- Hands-on experience with Bighand or similar workflow management software.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Adobe Acrobat.
- Experience with legal practice management and time-tracking software is a plus.
