We invite you to become a key member of our America’s PA and Document Services Team, where you’ll provide essential support to attorneys, paralegals, and business professionals across the firm.
As a Legal Assistant, you’ll play a vital role in ensuring smooth daily operations, managing time-sensitive tasks, and delivering high-level administrative support. Key Responsibilities
- Deliver comprehensive administrative support to lawyers and timekeepers across departments
- Manage calendars, emails, scheduling, copying, scanning, mailings, and billing tasks
- Prepare and process expense reports and vendor invoices
- Coordinate meetings (virtual and in-person), including logistics, technology setup, catering, and invitations
- Review, edit, and close time entries; generate reports and facilitate transfers using the firm’s timekeeping system
- Assist with engagement letters, conflict checks, and new matter openings
- Serve as a resource for internal inquiries and navigate firm systems effectively
- Conduct regular check-ins with supported professionals to ensure proactive service delivery
Qualifications
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Familiarity with Best Authority, InTapp Time, Emburse, DraftXpress, and NetDocuments (or similar document management systems)
- Strong communication, organizational, and analytical skills
- Ability to manage multiple assignments and meet deadlines in a high-volume environment
- Adaptability and a proactive approach to shifting priorities and assignments
Education and Experience
- Prior experience in a law firm or professional services environment preferred
- Microsoft Office Specialist (MOS) certification is a plus
- Additional college or technical training preferred, associate or bachelor’s degree desirable
Work Schedule: This position follows a hybrid schedule, with four days in the office and one day working remotely from home.
