About The Position
The Real Estate Paralegal provides organizational and practice-specific support to attorneys in the Real Estate practice group throughout all stages of real estate transactions, from pre-closing through post-closing . The role requires a high level of professionalism, strong attention to detail, and the ability to manage multiple priorities and projects in an organized, efficient manner. In addition, the Real Estate Paralegal supports the department by handling general administrative responsibilities and assisting with special projects as needed.
Essential Duties And Responsibilities
Title, Survey and Zoning
- Review title exception documents, identify issues, discuss issues with assigned attorney, prepare title review memos and title objection letters.
- Request and negotiate pro forma title insurance policies – both lender and owner policies.
- Prepare estoppel certificates and SNDAs.
- Review and assist with drafting of multiple real estate documents.
- Review, analyze and negotiate surveys, request and finalize revisions to surveys with surveyors.
- Order and review zoning reports. Request and coordinate revisions with zoning consultant.
Leasing
- Assist with first drafts of leases incorporating LOI terms, first drafts of extension amendments and miscellaneous leasing documents including consents to assignment/ sublease/change in control and broker listing and commission agreements.
Organizational Documents
- Prepare and/or review organizational documents.
- Order and review certified organizational documents and good standing certificates.
- Prepare and/or review consents and resolutions.
- Obtain EIN for newly formed entities.
- Assemble and circulate organizational documents.
- File organizational documents with secretaries of state, including qualifications to do business.
- Coordinate with search companies regarding independent directors, agents for service of process, etc.
- File and register entities in various states .
Loans and Purchase and Sale Transactions
- Prepare closing checklists.
- Review documents for blanks/missing information, missing exhibits, etc.
- First drafts of agreements incorporating LOI terms, and first drafts of amendments and miscellaneous real estate documents.
- Obtain missing information from clients.
- Order and review judgment and lien searches.
- Complete documents and assemble exhibits for closing.
- Finalize documents for recording.
- Prepare closing instructions.
- Coordinate preparation of settlement statements with title companies and clients.
Closing and Post-Closing (Loans and Purchase and Sale Transactions)
- Prepare signature page documents.
- Coordinate and supervise signing parties when clients come to our office to sign documents.
- Assemble documents.
- Coordinate with title companies.
- File UCC financing statements, amendments, assignments, terminations, and coordination of filings.
- Follow up with title companies with respect to recorded documents and title policies.
- Review post-closing documents for accuracy.
- Prepare closing binders.
Miscellaneous Due Diligence And Other
- Participate in checklist calls.
- Coordinate closing logistics for transactions.
Education And/or Experience
Five (5) or more years of paralegal experience required, including substantial experience working in commercial real estate and/or commercial real estate lending. Must satisfy at least one of the California statutory paralegal classification requirements. Bachelor's degree preferred.
Qualifications
- Demonstrates good judgment and ability to maintain confidential information.
- Ability to multi-task and prioritize while working with minimum supervision.
- Self-motivated.
- Organized and detail‑oriented.
- Excellent written and verbal communication skills. Possess the ability to effectively communicate with all levels of firm personnel.
- Ability to work overtime when workload requires with minimal notice.
- Ability to start shift early when a transaction requires an early start time (e., working with East Coast fundings or transactions).
- Proficient in Microsoft Office and Windows applications.
- California Notary Public or commitment to become California Notary Public within 6 months of hire. Notary Commission required for duration of employment.

Compensation
Allen Matkins is an Equal Opportunity Employer and offers a competitive compensation & benefits package. The anticipated base salary range for this full-time role is $100,000.00 - $150,000.00 per year. Actual salary will depend upon a number of factors, including, but not limited to, relevant experience, job-related skills, qualifications, and location.
The base salary range displayed on the job posting reflects the estimated range for new hire salaries for the position. The actual offered base salary will be determined by work location and additional factors, including, but not limited to, relevant experience, job-related skills and qualifications. The pay range is subject to change at any time dependent on a variety of internal and external business factors.
