Job Overview
Provide paralegal and administrative services to and on behalf of the legal department in litigation, regulatory, commercial, operations, and network operations. This role will be responsible for supporting legal aspects of network operations as well as the support of the North American legal department. Will interact with the company to facilitate the provision of legal services.
This role also serves as the primary contact for internal and external stakeholders on all matters relating to the Office of the General Counsel, MBUSA and Head of Legal and Compliance, North America, and helps manage communications, coordinate executive outreach, and ensure operational excellence within the legal department.
Responsibilities:
Legal Responsibilities
- Provide paralegal support for the litigation, regulatory, commercial, operations, and network operations teams.
- Draft legal and business communications in support of attorneys, including legal documents and other correspondence.
- Maintain documentation and processes for operations that are supported by the Legal Department.
- Responsible for creating and maintaining legal files as well as monitoring budgets and invoice review for relevant matters. Responsible for reporting on case status, assignments and relevant deadlines.
- Responsible for preparation of reports regarding all settled, dismissed and otherwise completed matters.
- Maintain calendar of all relevant deadlines for all matters and provide updates on a regular basis on upcoming deadlines and important matter developments.
- Collect and support discovery documents/information from relevant stakeholders in North America and prepare information to be provided to outside counsel in support of discovery requests.
- Track all information that is provided to outside counsel and create and manage any required litigation databases, including privilege logs and discovery requests and responses.
Executive Assistant Responsibilities
- Provide comprehensive administrative support, including approvals, calendar management, and logistical coordination for the General Counsel, MBUSA and Head of Legal & Compliance, NA.
- Coordinate key meetings and events, ensuring agendas, materials, and participants are prepared and confirmed.
- Prepare and submit accurate expense reports in a timely manner.
- Assist with special projects, providing research, reports, and support as needed.
- Develop, design, and deliver presentations to communicate business and department objectives, key updates, initiatives, and recommendations to cross‑functional teams.
- Distill complex data into clear insights and create dashboards, reports, or other visualizations that support the business or department’s decision-making strategy.
- Serve as a point of contact with Accounting and Finance to ensure timely coordination, accurate reporting, and alignment on financial topics relating to the department.
- Perform additional tasks and special projects as needed to further the legal department’s objectives.
Qualifikationen
Qualifications
- Bachelor's degree from an accredited college or university is required.
- Seven years of relevant work experience in a corporate law department, law firm, or equivalent is required.
- A paralegal certificate or certification is preferred but not required.
- Proficient in Microsoft Office Suite; quick to adapt to new technologies and applications.
- Adept at working both independently, flexibly, and collaboratively within a dynamic team.
- Ability to handle confidential information with integrity.
- Outstanding verbal and written communication skills.
- Deep knowledge of administrative procedures, project coordination, and experience with executive-level support in a high-performance, fast-paced environment.
