Job Description

Position Summary

The Paralegal Manager leads and oversees paralegal functions within the Legal Department of a retail insurance agency. This role is responsible for managing day-to-day legal operations, supervising paralegal staff, and ensuring consistent, compliant, and efficient execution of legal processes related to contracts, regulatory compliance, licensing, claims support, and corporate governance.

The Paralegal Manager partners closely with Legal leadership and cross-functional stakeholders including Compliance, HR, Risk Management, Finance, and Operations to support the agency’s business objectives while maintaining regulatory compliance and mitigating risk. This position requires strong leadership capabilities, advanced organizational skills, and sound judgment when handling sensitive legal and business matters.

Key Responsibilities

Leadership & Team Management

  • Lead, mentor, and supervise paralegal staff, providing guidance, training, and performance feedback.
  • Assign and prioritize workloads to ensure timely and accurate completion of legal deliverables.
  • Establish and maintain standard operating procedures, workflows, and best practices for paralegal functions.
  • Support staffing needs, onboarding, and ongoing professional development of the paralegal team.

Legal Support & Documentation Oversight

  • Oversee drafting, review, and revision of routine legal documents including NDAs, vendor agreements, broker agreements, client service agreements, and corporate resolutions.
  • Ensure consistency and quality control across legal documents and templates.
  • Manage and maintain corporate governance records, entity registrations, annual reports, and related filings.
  • Review escalated legal matters requiring advanced analysis or judgment before submission to Legal leadership.

Regulatory & Compliance Management

  • Oversee legal research related to insurance regulations, state licensing laws, and agency or producer compliance requirements.
  • Monitor and communicate significant regulatory changes to Legal and Compliance leadership.
  • Provide oversight of agency licensing, renewals, and appointment filings across multiple jurisdictions.
  • Partner with Compliance on audits, regulatory exams, and continuous process improvement initiatives.

Claims, Disputes & Risk Support

  • Oversee collection and review of documentation related to E&O claims, subpoenas, litigation holds, and carrier inquiries.
  • Ensure accurate tracking of deadlines, legal correspondence, and regulatory notices.
  • Serve as a point of escalation for complex claims or dispute-related matters.

Contract Lifecycle Management

  • Manage the contract intake and review process, ensuring adherence to legal review standards and approval workflows.
  • Oversee contract tracking, execution, and archival using contract management systems and electronic signature tools.
  • Ensure records are complete, audit-ready, and aligned with compliance requirements.

Administrative & Strategic Support

  • Prepare executive-level reports, summaries, and metrics related to Legal operations.
  • Support Legal leadership with planning, budgeting input, and departmental initiatives.
  • Contribute to the development of training materials related to compliance, legal best practices, and risk mitigation.
  • Participate in cross-functional projects impacting legal, compliance, or operational outcomes.

Qualifications

Required

  • Bachelor’s degree or equivalent experience required.
  • Paralegal certification from an accredited program preferred.
  • 5–8 years of progressive paralegal experience, preferably within insurance, financial services, corporate law, or another highly regulated industry.
  • Prior experience leading, mentoring, or supervising staff.
  • Strong knowledge of legal terminology, contract management, regulatory compliance, and corporate governance.
  • Advanced organizational skills with the ability to manage competing priorities in a fast-paced environment.
  • Proficiency in Microsoft 365 and experience with contract management or document management systems.

Preferred

  • Experience within a retail insurance agency or insurance carrier environment.
  • Knowledge of state insurance licensing and producer or agency appointment processes.
  • Experience supporting legal functions related to risk management, claims, and regulatory compliance.
  • Exposure to multi-state or multi-entity organizational structures.

Salary Range

The expected pay range for this position is $100,000 - $120,000 per year, depending on experience, relevant skills, and geographic location.
