Executive Administrative Assistant to the CFO and CLO

Job Summary

The Executive Administrative Assistant to the Chief Financial Officer (CFO) and Chief Legal Officer (CLO) will provide one-on-one high-level administrative support and serves as a liaison to the Executive and global senior management teams. The selected talented individual must be proficient at organizing and coordinating executive outreach and external relations efforts and overseeing special projects. This role also requires the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

Key Job Responsibilities

  • Manage sensitive matters with high confidentiality and discretion, especially decisions directly impacting the company's global operations.
  • Maintain and manage a daily calendar of global meetings and events for two C-Suite leaders.
  • Strong ability to anticipate needs, prioritize tasks, and proactively resolve conflicts to protect executive time and focus.
  • Coordinate and manage executive team meetings, off-sites, and company events.
  • Prepare Word, Excel, PowerPoint presentations, decks, agendas, reports, special projects, and other documents in support of objectives for the organization.
  • Assist with technology needs, including setting up video conferences and troubleshooting technical issues.
  • Arrange global and domestic travel and accommodations and prepare expense reports.
  • Assist in managing and tracking key projects and initiatives, ensuring timely completion and follow-up.
  • Assist and prepare correspondence for internal announcements, board meetings, and organizations including Executives involvement.
  • Maintain and organize important documents and records, ensuring easy access and retrieval.
  • Demonstrated ability to review, analyze, and redline contracts and other technical documents with precision and attention to detail.
  • Represent the company in a professional and positive light through great follow-through skills and sound judgment.
  • Excellent communication and time management skills; proven ability to meet deadlines.
  • Be responsive to emails/texts/phone calls, with contact outside normal business hours.
  • Ability to function well in a high-paced growth environment.

Qualifications

  • Bachelor's degree required.
  • 5+ years of related experience working in an executive assistant role supporting C-Level executives.
  • Must effectively manage time, prioritize multiple high-impact tasks, and execute with a strong sense of urgency.
  • Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
  • Flexible hours as dictated by the needs of business for projects and meetings.

  • Multilingual abilities are a plus, especially in languages relevant to the company's global operations.
  • Ability to think outside of the box with a sense of urgency.
  • Board of Directors support experience.
