Job Title: Regulatory Coordinator

Job Description

The Regulatory Coordinator plays a critical role in ensuring that products comply with local, national, and international regulations while providing high-quality support to internal teams and external customers. You will manage regulatory documentation and workflows, support product launches, and help maintain robust compliance systems for a dynamic flavor and fragrance environment.

Responsibilities

  • Manage and assign regulatory tasks to ensure timely and accurate responses to internal and external requests.
  • Oversee and monitor the regulatory inbox, triaging inquiries and directing them to the appropriate team members.
  • Handle customer portal requests, ensuring information is current and providing timely updates to stakeholders.
  • Maintain and update Non-Disclosure Agreements (NDAs) in collaboration with the Legal team.
  • Prepare, review, and maintain critical regulatory documentation, including Safety Data Sheets (SDS), allergen declarations, ingredient statements, labels, and certifications.
  • Organize, update, and maintain regulatory databases and systems for compliance documents.
  • Support Sales and Marketing teams by providing regulatory information and documentation for new and existing product launches.
  • Assist with supplier document requests and data collection for raw material and new project initiatives.
  • Support regulatory submissions and labeling activities to ensure compliance with applicable standards and regulations.
  • Collaborate with cross-functional teams such as R&D, Quality, and Operations to address regulatory questions and support continuous improvement in compliance processes.

Essential Skills

  • 2+ years of experience in regulatory affairs, preferably within flavor, fragrance, or food manufacturing environments.
  • Demonstrated experience working with regulatory documents such as Safety Data Sheets (SDS), allergen declarations, ingredient statements, labeling, and certifications.
  • Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.
  • Experience using regulatory software and tools to manage documentation and submissions.
  • Strong attention to detail and accuracy when handling regulatory data and documentation.
  • Analytical mindset with the ability to interpret regulatory requirements and apply them to products and processes.
  • Excellent written and verbal communication skills, with the ability to convey complex regulatory information clearly to internal and external stakeholders.
  • Proven ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Knowledge or familiarity within regulatory compliance in the flavor, fragrance, or related industries.

Additional Skills & Qualifications

  • Associate or bachelor’s degree preferred, ideally in a scientific, technical, or related discipline.
  • Experience in regulatory affairs specific to flavor, fragrance, or food manufacturing is highly desirable.
  • Exposure to or experience with third-party certifications such as Kosher, Halal, Non-GMO, and Organic.
  • Knowledge of regulatory compliance frameworks and standards for local, national, and international markets.
  • Ability to collaborate effectively with Legal, Sales, Marketing, R&D, Quality, and Operations teams.
  • Strong organizational skills with the ability to maintain structured databases and document repositories.
  • Customer-focused mindset with a commitment to supporting high-quality service and building long-term partnerships.

Work Environment

This role is based 100% on site during first shift hours.

Job Type & Location

This is a Contract position based out of Northbrook, IL.

Pay And Benefits

The pay range for this position is $24.00 - $28.85/hr.
