Thompson Hine LLP is seeking a full-time (37.5 hours/week) Litigation Legal Assistant (Administrative Specialist) to join our downtown Cleveland, Ohio office. This position is part of the Firmwide Administrative Support Center (“FASC”), our shared-services support team.


The FASC provides high-level administrative and litigation support to attorneys, paralegals, and professional staff across all Thompson Hine offices. Key responsibilities include document editing and formatting; proofreading; generating tables of contents and tables of authorities; entering attorney time; preparing and submitting expense reports; processing new business intake requests; coordinating travel; performing data entry; conducting document comparisons; assisting with trial, deposition, and arbitration preparation; and collaborating with attorneys, staff, and other departments as needed. Because heavy document formatting is a core function of this role, candidates must have substantial, demonstrated experience formatting legal documents, including stripping and applying styles, numbering schemes, and complex formatting structures.


The ideal candidate will have strong interpersonal and communication skills and the ability to build positive relationships in a collaborative team environment. Applicants must be self-motivated, detail-oriented, dependable, and adaptable to changing priorities in a fast-paced environment. Candidates should also have excellent organizational, time-management, and customer service skills. The ability to work proactively and independently while effectively managing multiple responsibilities is essential.


REQUIRED QUALIFICATIONS:

  • Ten (10) or more years of combined experience as a litigation legal secretary, legal assistant, paralegal, or another legal support role with primary responsibility for supporting litigation practice areas.
  • Advanced proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Advanced proficiency in document formatting, including stripping and applying styles and numbering schemes.
  • Superior grammar, punctuation, and proofreading skills.
  • Strong communication and problem-solving skills.
  • Strong interpersonal skills and an aptitude for working effectively within a team.
  • Excellent organizational skills and the ability to prioritize multiple tasks while meeting tight deadlines.
  • High school diploma or equivalent.


PREFERRED QUALIFICATIONS:

  • Intermediate-to-advanced knowledge of PDF software (e.g., Kofax), document management systems (e.g., NetDocs), and time entry systems (e.g., Aderant).
  • Familiarity with California courts and California litigation documents is a plus.
  • Experience in a word processing or document editing role is helpful.


This position requires the employee to work on-site at the Cleveland office on a schedule determined by the Manager to support departmental and Firm needs. The hours for this position are 9:30 a.m. to 6:00 p.m. ET, Monday through Friday.


After successfully completing at least a 90-day training period, this position is eligible to participate in a hybrid (in-office/remote) schedule. Occasional overtime and schedule adjustments may be required to accommodate workflow.


Compensation is determined based on the market in which the position is located, the responsibilities of the position, the applicant’s experience and skills, and other job-related factors. The estimated salary range for this Cleveland position is $78,000 to $96,000.
