Shared Services provides essential internal services that enable our crews to deliver safe, reliable, affordable, clean and customer-focused gas and electricity service.  With nearly 2,800 team members - 1,200 PG&E coworkers and 1,600 non-employee workers - we provide essential services from real estate, environmental and land expertise to transportation, aviation and contract administration.  Vegetation Contract Administration is one of seven functional area contract administration teams, under the Contract Administration and Governance organization.

 

Position Summary

The Contract Administration supervisor oversees the contract administration activities for Vegetation Contract Administration, which administers contracts and processes thousands of vegetation management and consulting invoices.  The supervisor partners with sourcing and operations, such as Enterprise Vegetation Management,  Electric Distribution Operations and the Underground Program. Delivers quality contracts with tangible earned value to PG&E internal customers while maintaining the highest degree of safety for employees, coworkers, service providers and the general public. 

This position is hybrid, working from your remote office and your assigned work location based on business need. The assigned work location will be within the PG&E Service Territory.

PG&E is providing the salary range that the company in good faith believes it might pay for this position at the time of the job posting. This compensation range is specific to the locality of the job.  The actual salary paid to an individual will be based on multiple factors, including, but not limited to, specific skills, education, licenses or certifications, experience, market value, geographic location, and internal equity.  Although we estimate the successful candidate hired into this role will be placed towards the middle or entry point of the range, the decision will be made on a case-by-case basis related to these factors.

A reasonable salary range is:
Bay Area Minimum: $109,000
Bay Area Maximum: $175,000
&/OR
California Minimum: $104,000
California Maximum: $166,000

 

Job Responsibilities

Oversees the Contract Administration team to provide services to internal customers and suppliers. Manages the vendor payment process and reconciles invoices to contract, project terms and conditions and negotiates resolution to invoicing issues. 

  • Supervise 4-15 direct reports including employee ESC represented Electric Contract Administrators and contracted staff aug.
  • Coaches, develops, and leads the team members to achieve the department goals and the individual's development objectives.
  • Manages contract files and invoices. Receives contractor invoices and reviews against goods receipts for validity and accuracy. Based on work completion information from the field, manages the timely input of goods receipts into SAP and the sourcing delivery system.
  • Contributes to group financial performance by monitoring budget and system performance, controlling costs, and reviewing and approving expenses.
  • Partners with Sourcing and others to ensure contact and record keeping compliance. Partners with Sourcing in carrying out audits, invoicing, investigating dollar discrepancies, and recouped costs responsibilities.
  • Regularly identifies process improvements to systems and workflow, while also collaborating with other contract administration teams.
  • Ensures staff understand and adhere to compliance requirements and workflow process improvements. Monitors staff workload and assists staff in work prioritization.
  • Supervises staff to accomplish results through recruitment and selection, training and development, performance management, and rewards and recognition.

 

Qualifications

Minimum:

  • High School or GED-General Educational Development-GED Diploma
    Job-related experience, 4 years


Desired:

  • Bachelors Degree or equivalent experience
  • Leadership experience, 3 years
  • Knowledge of contract management and administrative processes, methods, and concepts.
  • Knowledge of contract administration compliance regulations
  • Problem solving and analytical skills
  • Intermediate to advanced Excel skills
  • Experience using and developing Power BI dashboards
  • Intermediate knowledge of accounting principles and practices
  • Experience using SAP and Ariba
  • Relationship building and good interpersonal skills
  • Basic knowledge of bargaining unit contracts/agreements.
  • Basic knowledge of electric utility operations.
