About The Team

The LCCA Operations Team focuses on improving the efficiency, effectiveness, and overall management of legal processes and workflows. Our primary goal is to enhance the delivery of legal services by implementing best practices, optimizing resources, and leveraging technology.

About The Role

We are seeking a highly organized, detail-oriented self-starter to join our legal operations team as an Outside Counsel eBilling Coordinator. The successful candidate will play a crucial role in managing the electronic billing processes for our external legal service providers program, ensuring accuracy, compliance, and efficiency in financial transactions related to legal services.

Responsibilities:

  • eBilling Management:

    • Oversee the end-to-end electronic billing process for external legal counsel, ensuring timely and accurate submission and approval of invoices.
    • Collaborate with outside law firms to troubleshoot and resolve any billing discrepancies or issues, ensuring compliance with billing guidelines.
    • Manage the entire vendor onboarding process that includes overseeing internal procurement and accounting processes as well as the related ebilling system configurations.
    • Manage matter intake, updates, and remediation.
    • Establish matter budgeting and forecasting mechanisms to improve spend management and visibility.
    • Work with data and analytics teams to visualize and communicate detailed spend information to matter leads and finance and accounting teams.
  • Vendor Relationship Management:

    • Develop and maintain positive working relationships with external law firms to facilitate effective communication and collaboration on billing matters for continual optimization and process improvements.
    • Serve as the main point of contact for billing-related inquiries and provide support to both internal stakeholders (i.e., Accounting, Finance, and Compliance teams) and external vendors.
  • Compliance and Reporting:

  • * Monitor and enforce compliance with billing guidelines and internal policies.
    
    • Generate and analyze reports to track billing metrics, identify trends, and provide insights to enhance efficiency and cost-effectiveness.
    • Manage the review and approval of engagement letters and conflicts waiver requests.
  • Technology Integration:

    • Work closely with our Business Technology teams and legal operations team to implement and optimize eBilling platforms and technologies.
    • Provide continual and consistent training and support to legal teams and external vendors on eBilling systems and processes.
  • Process Improvement:

    • Continuously evaluate and enhance eBilling processes to improve accuracy, reduce costs, and streamline workflows.
    • Incorporate automation and AI-relevant opportunities into the overall process to alleviate high volume/low risk work.

About You

Basic Qualifications

  • Prior experience in legal operations, eBilling, or financial management within a law firm or corporate legal department.
  • Strong understanding of legal billing processes and guidelines.
  • Experience implementing and managing eBilling systems.
  • Proficient in managing with data and analytics and conceptualizing dashboards for optimized spend and accounting visibility.
  • Very proficient in Excel - you can do a VLOOKUP in your sleep.

Additional Qualifications

  • Excellent communication and interpersonal skills.
  • Proficiency in utilizing eBilling platforms and legal management software. Experience with SimpleLegal and Tableau a plus.
  • Detail-oriented with strong analytical and problem-solving abilities.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Familiarity with legal industry trends and technology.

Workday Pay Transparency Statement

The annualized base salary ranges for the primary location and any additional locations are listed below. Workday pay ranges vary based on work location. As a part of the total compensation package, this role may be eligible for the Workday Bonus Plan or a role-specific commission/bonus, as well as annual refresh stock grants. Recruiters can share more detail during the hiring process. Each candidate’s compensation offer will be based on multiple factors including, but not limited to, geography, experience, skills, job duties, and business need, among other things. Primary Location Base Pay Range: $102,800 USD - $154,200 USD

Additional US Location(s) Base Pay Range: $82,400 USD - $154,200 USD
