ABOUT THE ROLE
 
As Trustly’s Legal Operations and Office Assistant, you will be the key driver of our office environment, ensuring smooth operations and a positive atmosphere for team members. Be the main point of contact with the property management for facility needs. You will play a pivotal role in coordinating office logistics, managing supplies, and supporting various administrative tasks to contribute to the overall efficiency of the San Carlos office.
 

WHAT YOU'LL DO

  • Own various administrative tasks, including scheduling meetings, handling correspondence, and supporting the needs of the Legal and People departments with a focus on timeliness and accuracy. 
  • Serve as a central point of contact for internal and external inquiries and communication, fostering a collaborative and inclusive office culture.
  • Maintain records and manage data entry for the legal team.
  • Manage incoming and outgoing mail in a timely and efficient manner.
  • Oversee corporate governance needs for personnel as needed (fingerprints, notary appointments etc.).
  • Coordinate office meetings and conference rooms, and ensure all logistical aspects are executed smoothly.
  • Oversee day-to-day office operations, including managing supplies, coordinating maintenance, and organizing workspace.
  • Ensure that the office and balcony are kept clear, clean, and tidy at all times.
  • Responsible for shipping and receiving office supplies and mail.

 

WHO YOU ARE

  • 1+ year of experience as an office coordinator or administrative assistant.
  • Experience as an administrative or executive assistant is a plus.
  • Natural talent for keeping things organized and on time.
  • Proactive nature for identifying and addressing potential challenges.
  • Strong attention to detail.
  • Highly communicative and reliable, with a natural inclination to be quick to respond to phone, email, and Slack. 
  • Positive and friendly demeanor, contributing to a harmonious office atmosphere.
  • Ability to communicate effectively with various stakeholders, both internally and externally, verbally and in written form.
  • Adaptable to a dynamic work environment and can handle multiple tasks with ease.
  • Local to San Carlos, CA with the ability to work in-office at least 3 times per week.
 
$24 - $28 an hour
 
HOURLY RATE: $24 - $28
