National firm is seeking an document specialist / legal administrative assistant to join their team. The position is a non-exempt position working within the Word Processing Department. The primary function is to provide document and word processing support, optimizing employees' time on complex tasks and supporting secretaries in serving the needs of partners, counsel, and associates.

_ Responsibilities & Tasks:_

  • Handle word processing requests, including creating/editing documents, basic paralegal tasks, and complex graphics projects.
  • Manage switchboard and reception responsibilities after hours.
  • Communicate with outside vendors such as copy services and messenger services.
  • Other responsibilities and projects as assigned.

Knowledge, Skills, Abilities & Attributes:

  • Superior knowledge of software, including Word, Excel, PowerPoint, Outlook, Acrobat, iManage, and legal tools like Workshare Compare, Best Authority, Concordance, PACER, Westlaw, and Lexis.
  • Adapt quickly to new technology, work well in a team environment, and prioritize tasks effectively.
  • Exhibit resourcefulness, good organization, and a client service mentality.
  • Clear communication skills, both verbally and in writing.
  • Demonstrate initiative, sound judgment, and attention to detail.

Physical Requirements: With or without reasonable accommodation, the candidate must:

  • Use a telephone effectively.
  • Sit for extended periods, use hands and arms, and occasionally lift up to 10 pounds.
  • Read a computer screen, enter data, and see objects at a close distance.
  • Work in an interior workspace with no windows, in close proximity to colleagues.

Compensation will range from $75k - $95k annually depending on actual experience.
