Robert Half is recruiting an Office Administrator / Legal Assistant for the Marin County office of a regional law firm representing public entities, schools, and businesses. This position is circa half law firm office management (hiring and managing staff, ensuring office compliance with firm policies, liaise with firmwide leadership, etc.) and half legal secretary work (mostly employment litigation, education, and administrative law).

The following are the responsibilities of the Office Administrator / Legal Assistant:

  • Coordinate with offices managing partner and firmwide management to ensure office operations, attorneys, and staff are doing well;
  • Handle facilities matters including communicating with landlord about maintenance issues, ensuring IT systems and office equipment are functioning, ordering office supplies, etc.;
  • Recruit, interview, hire, on-board, and train secretaries and other new employee staff members;
  • Supervise and counsel staff and manage workplace to ensure good working relationships and compliance with Firm guidelines and applicable law;
  • Coordinate workflow to ensure sufficient secretarial and paralegal coverage for attorneys, and retain temporary support as needed; and
  • Perform legal secretary work, including drafting and revising legal documents and correspondence, preparing pleadings, and doing filings for court, and preparing for arbitrations and mediations.

The following are the qualifications for the Office Administrator / Legal Assistant:

  • 2+ years of office management experience and 3+ years of legal secretary experience (ideally in employment law, litigation, and public entity representation);
  • Optimal interpersonal skills and able to communicate very well with firm management, attorneys, staff, and vendors;
  • Excellent organizational faculty and strong ability to multi-task and prioritize office workflow;
  • Proficiency in Microsoft Office Suite and electronic document management systems (e.g., iManage); and
  • Strong initiative, excellent work ethic, intuitive, diplomatic, roll up your sleeves manager.
