The Role We are looking for a Department Assistant to join our legal team in Los Angeles. The position supports 2 Executives on the Corporate Law Team within the Office of the Chief Legal Officer. This hybrid role requires onsite presence 4 days a week or more, as mandated by the business.

Responsibilities

  • Performs administrative and office support activities for 2 very busy executives on the corporate law team
  • Routes incoming calls to the appropriate personnel, and track for follow up as needed
  • Manages calendars, setting up and managing meetings, reserving conference rooms etc.
  • Manages the expenses process for both executives, as well as departmental P-Card
  • Receives and directs visitors
  • Assists with legal billing
  • Proficient in Microsoft Office, particularly Outlook and Word (redlining), PowerPoint, Acrobat Adobe Professional (including AdobeSign), NetDocuments.
  • Redlines and edits (per the attorney’s notes) highly confidential documents, legal correspondence and agreements
  • Manages real-time status of agreements and effectively and proactively communicates status to the executives
  • Understands the workflow relationships both of the Office of the Chief Legal Officer and the agency at large.
  • Liaises with multiple external legal counsels on corporate matters
  • E-files high volume of documents
  • Accesses and run reports on NetDocuments, DocMinder, HCue, Carta and other corporate databases.
  • Coordinates travel itineraries and submit monthly expense reports.

Qualifications

  • Bachelor’s Degree
  • Minimum 2 years of general office experience; Reception experience a plus
  • Strong Microsoft Office, specifically Word, Excel and PowerPoint
  • Professional demeanor, good judgment, ability to problem solve and superior organizational skills
  • Strong written and verbal communication skills

Location This role will be based in our Los Angeles, CA office; Hybrid.

Compensation The base hourly rate for this position is in the range of $22.00- $25.00. This position also is eligible for benefits and discretionary bonus. Ultimately, wages may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria.
