Litigation Bankruptcy Legal Administrative Assistant Details
We currently have an opening for a Legal Administrative Assistant within our Litigation _Practice Group _ in our Dallas office. Under general supervision, this role supports the delivery of quality legal services to clients by providing secretarial and administrative assistance to assigned attorneys, paralegals, or other timekeepers.
The position operates within a team-oriented environment, emphasizing collaboration and cooperation among team members. The ideal candidate will possess at least 5 years of relevant experience, with a preference for candidates who bring over 7 years of expertise to the role. Specifically, we are looking for individuals who have experience in commercial litigation and bankruptcy practice areas, demonstrating a strong foundation in legal practices and procedures related to these fields.
The hours for this position are from _8:30 a.m. to 5:00 p.m., Monday through Friday schedule.
_ Position responsibilities include, but are not limited to the following:
- Demonstrate the ability to listen to others, follow instructions, and accept feedback to ensure effective communication and continuous improvement.
- Advanced Microsoft Office skills, including proficiency in Word, Excel, and PowerPoint, are essential for creating, managing, and presenting documents and data.
- Ability to work independently with a strong sense of accountability, demonstrating initiative and reliability in completing tasks and managing responsibilities.
- Ability to work in a fast-paced environment, delivering work efficiently and timely, while maintaining high-quality standards in all tasks.
- Organize and prioritize tasks, including the delegation of tasks when appropriate, to ensure effective time management and task completion.
- Ability to learn, interpret, and apply policies and procedures to comply with the firm's standards and legal requirements.
- Manage and maintain files; open new matters as requested by attorneys, ensuring all necessary documents are accurately included, and create and maintain files and indexes, both paper and electronic, as directed, and in keeping with the firm's guidelines.
- Processes and tracks legal work; records and monitors deadlines to ensure timely completion and compliance with legal timelines.
- Prepares documents for e-filing and files documents with appropriate courts or other administrative agencies specific to the practice areas, ensuring accurate and timely submissions.
- Coordinate scheduling of and assist in preparing for appointments, meetings, and conferences, providing support to attorneys, clients, and visitors in the office, and managing attorney calendars and travel schedules meticulously.
- Assist in the preparation of court hearings, depositions, mediations, and arbitrations, scheduling remote appearances, and calendaring all relevant deadlines to support legal proceedings.
- Processes incoming and outgoing mail, including arranging special mailings and courier services with the Office Services department, to ensure timely and accurate document distribution.
- Coordinates client billing process; works directly with billing to troubleshoot billing issues, ensuring accurate and timely client billing and financial management.
- Proofreads to ensure accuracy of formatting, grammar, punctuation, syntax, and intermediate to advanced content in all documents, communications, and reports, upholding the firm's standards for document quality.
- Accurately record billable and unbillable (client and administrative) time, contributing to the accurate tracking and billing of legal services.
- Anticipate attorney needs, maintaining organization and preparedness, to facilitate the smooth operation of legal processes and attorney schedules.
- Foster and maintain smooth working relationships with staff, attorneys, and clients, ensuring a harmonious work environment and effective team collaboration.
- Utilize document management systems for task creation, document upload, and email correspondence, enhancing document management and communication efficiency.
- Handle telephone inquiries, respond to client needs, and provide exemplary service, ensuring professional and responsive client interactions.
- Serve as a mentor for incoming staff on general firm processes and core practice areas, sharing knowledge and expertise to support team development and cohesion.
- Exhibit flexibility to work outside standard business hours as needed, adapting to the demands of the role and supporting urgent legal needs.
Experience And Qualifications
- At least 5 years of experience as a legal administrative assistant, with proven expertise in supporting both commercial litigation and bankruptcy practice within a mid-size law firm.
- Comprehensive knowledge of Dallas court procedures, including state, federal, and appellate levels, with a strong emphasis on e-filing procedures.
- Exceptional proofreading and editing skills, with a keen eye for detail in all written communications.
- Proficiency in Microsoft Office applications (Excel, Word, OneNote, and Outlook) and experience with document management systems.
- Demonstrated ability to work independently and within a team, showing reliability and the capacity to juggle multiple tasks effectively.
- Excellent interpersonal skills to develop and maintain effective working relationships with all levels of staff and clients.
- This position requires the employee to work in a professional office environment with some ability to work from home.
