Job Summary:

As part of the Legal team, the individual in this role will assist with the organization’s legal documents, conduct research, prepare/compile reports, and handling other administrative tasks.

Responsibilities:

Paralegal Support:

  • Collaborate with paralegals to provide administrative assistance and support as needed.
  • Assist in organizing case materials, drafting legal documents and managing documentation related to ongoing legal matters.
  • Manage and maintain legal documents, records, and databases, ensuring accuracy and organization.

Litigation Support:

  • Assist in maintaining organized case files, including documentation, correspondence and deadlines related to ongoing legal matters.
  • Coordinate with external legal counsel and internal clients to gather information and documents required for legal proceedings.

Contract Support:

  • Input and maintain contracts, agreements, and legal documents in our contract management system.
  • Ensure accurate and up-to-date contract records and assist in tracking contract milestones and renewals.

Reporting and Documentation:

  • Maintain accurate and organized records of legal research, analyses, and other relevant documentation.
  • Prepare and compile reports, presentations, and materials for management review.
  • Draft, edit, and format legal documents, contracts, agreements and correspondence as directed by paralegals.
  • Collaborate with the paralegals to review and proofread documents to ensure accuracy and compliance with company standards.

Client Interaction:

  • Interface with internal clients, external parties, including outside counsel, and vendors to facilitate communication and gather relevant information.
  • Provide excellent customer service by addressing inquiries and requests professionally and promptly.

Data Management:

  • Assist in managing and organizing legal data, ensuring confidentiality and compliance with all regulatory, legal and company policy requirements.
  • Utilize legal software and tools to manage electronic documents and streamline workflow processes.

Administrative Support:

  • Schedule meetings and appointments with internal clients and outside counsel for paralegals and attorneys.
  • Assist in organizing and coordinating calendars, travel arrangements, and internal and external communications.
  • Assist in reviewing invoices and timekeeping submissions by outside counsel.
  • Coordinate the preparation of outgoing mail shipments for time-sensitive documents, ensuring accurate labeling, packaging and timely delivery.
  • Monitor the service of legal documents such as summonses, subpoenas and notices, on the company and coordinate with the proper individuals to ensure timely response.

Requirements:

  • Strong analytical and problem-solving skills.
  • Excellent written and verbal communication abilities.
  • Detail -oriented with the ability to manage multiple tasks and priorities in fast-paced environment under minimal supervision.
  • Collaborative team player with the ability to exercise independent thinking and sound judgment.
  • Proficiency in Microsoft Office Suite, legal research tools and databases.

Education/Experience:

  • A bachelor’s degree is required for this position, irrespective of the field of study.
  • Prior experience as a legal assistant, related role or interest in the legal field is strongly preferred. However, we are open to considering exceptional candidates who demonstrate the skills, attitude, and potential to excel in this role, regardless of their prior experience.
