Hunton Andrews Kurth LLP, an international law firm, is actively recruiting a Temporary Lawyer Recruiting/Development Coordinator in our Washington office. This position performs administrative work of a highly confidential and complex nature; works closely with all levels of firm administration on various lawyer recruiting, training, development and other team initiatives.
RESPONSIBILITIES AND ACCOUNTABILITIES
- Provides administrative support on a variety of firm-wide and office-specific recruiting and development activities.
- Ensures that all firm-wide response times are met as to all candidates at various stages in the recruiting process. Schedules appointments for candidate interviews in the office and ensures completion of all required paperwork in keeping with best practices. Arranges attorney participation in interview process, and prepares and distributes interview schedules electronically, along with candidate credentials. Ensures that each candidate is appropriately welcomed. Explains interview schedule to candidate and answers questions. . Collects and compiles evaluations of candidates from lawyers for the office Recruiting Committee or the hiring practice group/team.
- Assists with lateral associate recruiting efforts, including requisition requests and new hire forms, job and web postings, and applicant scheduling.
- Ensures appropriate candidate and search firm communication at all times, and ensures that candidates are promptly notified of hiring decisions. Determines eligibility of online applications and ensures appropriate responses are provided, when necessary.
- Submits requests for background and conflict checks. Acts as point of contact for routine questions regarding the entry of background checks into the vendor system.
- Coordinates and schedules local orientation. Collects and submits paperwork associated with new hires including preparation of orientation materials; prepares Welcome packages for new hires. Ensures transmittal of UltiPro and payroll information for all new and lateral hires.
- Provides coordinator support to the annual Associate Evaluation Program, including monitoring evaluation completion deadlines and status, collecting and entering delinquent evaluations, coordinating associate review meetings, printing and distributing confidential documents for review meetings, and collecting and finalizing Associate Committee member review meeting summaries.
- Works in the legal recruiting applicant tracking system, LawCruit. Assists with processing and review of online applicants, including sending applicant materials to attorneys for review, and coordinating interviews for candidates, including contacting attorneys to secure their availability for interviews and setting up email confirmation letters to candidates and managing LawCruit interview reminders, schedule changes, and evaluation reminders for attorneys on the schedules. Updates the status and other items pertaining to applicants, and collects evaluations for applicants. Enters attorney evaluations manually into LawCruit as needed.
- Assists in coordinating the summer associate programs and performs a variety of tasks including orientation, mentor assignments, event planning, meals, team lunches, coordination of office and work assignments, and setting up the summer associate module in LawCruit and office information on eHunt. Prepares all payroll and departure-related information for summer associates. Tracks, updates and circulates summer budget and entertainment expenses to Summer Program/Hiring Committee and Hiring Partner.
- Performs special projects as assigned.
QUALIFICATIONS
- Education: High school diploma or equivalent required; college degree preferred.
- Experience: Minimum 3 years’ administrative/job related experience required, including internships, preferably in a law firm, professional services, or other client relationship-based organization.
- Other Qualifications: Accurate typing, strong word processing skills, ability to generate a large volume of work and pay strict attention to detail. Excellent communication skills. Spelling, punctuation and use of grammar must be of high quality. Must exercise initiative in problem solving and be capable of making sound decisions in the absence of clear instructions and be multiple-task oriented. Ability to maintain flexibility regarding work assignments and flexibility to work overtime on short notice required. Ability to work well under pressure, patience, diplomacy, high stress tolerance, excellent interpersonal communication skills, ability to prioritize workload and adapt to changing conditions. Visual acuity needed for transcription, extensive reading and input (typing) of information into computer. Ability to receive and convey detailed information through oral communication. Essential competency processes include language ability, reasoning and memory.
