Position Summary:

The Assistant Administrator for Attorney Services & Technology assists the Head Administrator for Attorney Services & Technology in the administrative and technological management of matters related to admission to the bar, court certification of law student practitioners, and licensing of foreign legal consultants. Responsibilities include the performance of a broad range of administrative duties to ensure the proper processing, e-filing and management of electronic court documents and case information, and to provide bar admission IT development support.

Major Duties:

The following represents a partial list of those duties and responsibilities performed by individuals in this position. Specific duties will vary depending on the needs of the Court:

  • Electronically review and accept all e-filed petitions for admission to the bar
  • Electronically process certificates of admission and good standing, requests for certified copies of court records, court correspondence, changes to attorney names and/or addresses, etc.
  • Perform extensive data entry and data scrutiny consisting of a wide range of case information recorded within the case and document management systems
  • Organize both in-person and remote biannual formal bar admission ceremonies
  • Coordinate and supervise the organizing, categorizing, indexing, storing and retrieval of all court records both on and offsite
  • Coordinate the training of office intern staff within the Attorney Services Department
  • Serve as liaison with outside agencies on behalf of the Clerk’s Attorney Services Department when necessary
  • Provide assistance and information regarding court procedures in connection with SJC Rule 3:01 (Attorneys), SJC Rule 3:03 (Student Practitioners), and SJC Rule 3:04 (Foreign Practitioners), as well as the rules of the Board of Bar Examiners and the Board of Bar Overseers
  • Provide support in the management and supervision of the bar admission docket
  • Assist in any consultations with executive level administrators regarding design and development of technological expansion in the Clerk’s office
  • Assist in assessing and analyzing ongoing operational requirements for electronic processes
  • Assist with maintaining agendas and detailed documentation relating to all aspects of IT development for the Attorney Services Department
  • Assist in the preparation and maintenance of Attorney Services Department’s IT user guide and training materials

Salary Range:

OPEIU Local 6 Salary Schedule (Effective July 7, 2019). Position Grade 16: $63,915.70 (Step 1) - $84,252.58, (Step 8)

Qualifications


Position Requirements:

  • Bachelor’s degree from an accredited college or university
  • A minimum of five (5) years’ experience with case and document management software programs
  • A minimum of five (5) years of administrative experience that included an extensive use of office technology

Required knowledge, skills, abilities and experience:

  • Sound knowledge of the Massachusetts court system and its functions, procedures, and operations
  • Sound knowledge and understanding of information technology concepts, operating systems, and software programs
  • Substantial experience with desktop computer applications such as Office 365 and Adobe Acrobat Pro
  • Highly skilled in performing both electronic and manual administrative tasks and duties
  • Highly skilled in drafting, editing and writing professional correspondence
  • Ability to maintain well-organized, complex, and accurate files, records and correspondence
  • Ability to analyze, explain and communicate effectively with attorneys, the general public, outside agencies, contractors, courts, and bar officials, both verbally and in writing
  • Ability to work independently, as a member of a team, and without direct supervision
  • Ability to maintain effective, respectful, courteous, and considerate professional working relations with the clerks, attorneys, coworkers, and the general public
  • Ability to take initiative, solve problems and assist others in accomplishing their assignments

Residency:

By statute, only persons who are residents of the Commonwealth of Massachusetts may serve as officers in or as employees of the judicial branch.
