SUMMARY

We are seeking a highly organized and experienced Legal Coordinator to provide administrative support to our Chief Legal Officer and Legal Department. The successful candidate will have excellent communication and organizational skills, be able to multitask effectively, and maintain a high level of confidentiality. The Executive Assistant/Legal Coordinator will be responsible for providing support to our Legal Department in managing day-to-day operations, maintaining legal records, organizing and filing legal documents, and managing calendars and travel arrangements as needed for the Chief Legal Officer.

Essential Duties And Responsibilities

  • Provide administrative support to the Chief Legal Officer
  • Manage calendars, schedule meetings, appointments and calls, and coordinate travel arrangements
  • Manage and organize Legal Department files and documents, including legal databases and document management systems
  • Maintain legal records, including contracts, corporate records, and litigation files
  • Coordinate and manage the review and approval of contracts and other legal agreements
  • Coordinate and manage the legal department matter in-take and workflow system
  • Prepare presentations, reports and track legal matters and KPIs
  • Conduct document, data and email searches
  • Draft correspondence and prepare legal forms
  • Coordinate with outside legal counsel and other external stakeholders with direction
  • Assist with other administrative tasks and special projects as needed
  • Establish and maintain a strong relationship with peers, managers, and business partners

Requirements

KNOWLEDGE SKILLS AND ABILITIES

  • 3+ years of experience as an executive assistant or legal coordinator
  • Strong organizational and time management skills
  • Experience with legal document management systems preferred
  • Ability to work independently and manage multiple tasks and priorities
  • High level of discretion and ability to maintain confidentiality
  • Excellent written and verbal communication skills
  • Proficient in technology (O365, cloud-based software)

EDUCATION

  • Bachelor’s degree in business administration, legal studies, or a related field
