Job Description:

Legal Secretary III

Performs complex legal secretarial and administrative support work for one or more attorneys, including local district and county attorneys as well as Department attorneys. Maintains complete and accurate control of legal files. Work includes preparing and typing legal and administrative correspondence and documents. Develops and maintains appropriate and professional working relationships with agency staff and the legal community. Assists in establishing and maintaining tracking systems to ensure timely and efficient processing of all legal tasks within the unit. Prepares travel requests and reports for staff. Ensures that all Department attorneys' and prosecutors' offices are adequately supplied and that office equipment is maintained. Performs other duties as assigned. Works under limited supervision with considerable latitude for the use of independent judgment and initiative concerning proper methods and legal procedures to accomplish assigned duties.  

Essential Job Functions:

In addition to those listed under “Job Description”, orders supplies, organizes files and correspondence, and all confidential materials in personnel files, training and travel folders and case files; handles itinerary and travel scheduling and travel vouchers for Regional and Litigating Attorneys and other Department personnel.  

Knowledge Skills Abilities:

In addition to those listed under “Job Description”, demonstrate knowledge of spelling, punctuation, sentence structure, grammar and arithmetic. Ability to record and prepare chronology of events. Ability to prioritize work and complete tasks in an efficient manner. Ability to plan and organize work flow. Ability to handle telephone calls in a professional manner. Proficient in the use of Word, Excel, Microsoft Outlook, as well as the ability to learn the use of other computer programs; ability to keep confidential information confidential.  

Registration or Licensure Requirements:

None required, but Notary Public is preferred.  
Initial Selection Criteria:
Required: Graduation from high school or equivalent. Some education beyond high school preferable. Prior secretarial and paralegal experience preferred.  

Additional Information:

Physical requirements for this position include the ability to drive a vehicle, lift and carry objects, operate a computer, including operating word processing, data management and other computer software, to be capable of reading and verbal and written communication and to operate office machinery and equipment, including faxes, copiers and printers.
