Allied Universal® is hiring a Legal Administrative Assistant to be located at our Headquarters East in Conshohocken, PA. The Legal Administrative Assistant is responsible for the creation and oversight of the matter management systems and administrative tasks required for those areas covered by the North America General Counsel team.

RESPONSIBILITIES:

  • Provide administrative support as assigned by the North America General Counsel, to include submitting travel arrangements, printing, copying, processing invoices and check requisitions, submitting expense reports and various other projects
  • Create, track, and maintain various Smartsheet tools and dashboards for the North America General Counsel team
  • Manage the invoicing process for the North America General Counsel team, including creating new matters, closing current matters, and reviewing status reports with the team
  • Support the Service of Process via CSC/CT Corp for contract related items, as well as gather and respond to other requests for information from internal and/or external stakeholders as directed by the North America General Counsel team
  • Maintain various SharePoint pages (Contract Library, Regulatory Policies and Operational Compliance Page)
  • Create and manage filing systems for the North America General Counsel team
  • Support coordinating and issuing responses to company subpoenas and requests for information from various state and federal agencies
  • Provide support to the North America General Counsel team for various projects and tasks

QUALIFICATIONS:

  • Must possess one or more of the following:
    • Associate’s degree in Business, Human Relations, Legal studies or related with a minimum of five (5) years of human resources, compliance and/or legal department management
    • High school diploma or equivalent with a minimum of seven (7) years of human resources, compliance and/or legal department management
  • Possess, or be able to obtain Smartsheet Certification
  • Minimum of five (5) years of human resources, compliance and/or legal department management
  • Project management experience
  • Able to work independently and be self-directed
  • Ability and understanding of areas that require authorization and direction from supervisor, and when/how to provide regular updates
  • Ability to take initiative, successfully handle and prioritize multiple competing assignments and effectively manage deadlines and meet objectives while being detail oriented
  • High level of customer service and ability to effectively interact with all levels within the organization as well as outside with various law firms, vendors, and providers
  • Highly organized, with ability to process a very high volume of tasks, paper, and information in an effective manner, including ensuring that information and its impact on the organization is absorbed and understood
  • Must be highly proficient in Smartsheet and all Microsoft Office applications, TEAMS, SharePoint, Word, Excel, and PowerPoint; good comfort level with integrating multiple applications to streamline operations through technology solutions
  • Able to use technology effectively to create meaningful reports and measurements and presentations
  • Professional, articulate, and able to use good independent judgment and discretion
  • Outstanding oral and written communication skills

PREFERRED QUALIFICATIONS:

  • Bachelor’s Degree in Business, Human Relations, or related field of study
  • Experience working in compliance
