What You Would Get To Do

The Legal Operations Specialist is responsible for assisting the Chief Legal Officer and Chief of Staff in support of legal operations, corporate governance and subsidiary management. This role will be supporting the overall efficiency and effectiveness of our Legal Department. The Legal Operations Specialist will combine legal knowledge with operational efficiency to support the legal team in various administrative, technological, and strategic aspects. The Legal Operations Specialist will report directly to the Chief Legal Officer and collaborate with cross-functional teams to streamline operations, manage resources and projects, and maintain compliance across the business.

Your Contributions

 

  • Creating legal templates and documenting SOP
  • Implementing and managing the legal helpdesk, acting as the first port of call for the business; engaging with, and managing the use of third party platforms to resolve business queries together with appropriate escalations either to outside Council or to the Chief Legal Officer
  • Continuously reviewing frequent queries to the legal department and directing them as necessary for resolution; monitoring response times and suggesting improvements
  • General legal support across the areas of the business including document drafting, initial documentation review and legal research
  • Maintaining and filing corporate documents via the use of the Global Entity Management Software and other systems as needed
  • Document internal Company Secretarial procedures, guidelines and templates
  • Prepare and draft resolutions-in-writing and provide assistance to the business in preparing submissions to the Board, Board Committees and subsidiary boards
  • Maintain the Subsidiary Board calendars, manage meeting invitations, and ensure all decisions of the Board are accurately and appropriately recorded in the minutes of the meetings and managing DocuSign or similar software in order to procure signatures as appropriate
  • Assist in identifying, analyzing and reporting on the regulatory developments and best practice corporate governance, and where opportunities arise, partner with the business to assist with strengthening governance practices
  • Supporting with audit and general requests in relation to corporate documentation
  • Supporting with aspects of the production of the annual company strategic report
  • Proactively managing deadlines and keeping track of due dates to ensure documents, filings and projects are addressed in a timely manner
  • Driving legal-led projects from drafting a project plan, executing the plan to successful completion, while updating the team on progression throughout the project and supporting the coordination of internal legal projects.
  • Various related tasks and special projects as requested by the Legal Department or the Executive Office, including administrative support in management of the legal budget and other support as necessary

  • 1-3+ years of experience
  • Bachelor’s Degree preferred
  • Comfort using Entity management software
  • Understanding of/or experience with project management
  • Work intelligently and ensure the Chief Legal Officer is made aware of any potential problems which could negatively affect or put the company at risk
  • Ability to handle privileged, confidential and sensitive information in an appropriate and professional manner
  • Legal research skills, including knowledge of electronic search technology and relevant databases, a plus
  • Requires the ability to work and cooperate with other employees and clients at all levels and from diverse backgrounds to exchange ideas, information and opinions to facilitate the task at hand.
  • Ability to cope in complex and potentially stressful situations.
  • Requires concentrated attention for prolonged periods of time.
  • Requires ability to accept the lack of control over work pace or priorities.

  • Assume responsibility for own environment, ensuring adherence to health and safety policies while having clean smart surroundings
  • Work intelligently and ensure management is aware of problems or issues which negatively affect productivity
  • Build excellent relationship with team through positive communications
  • Ensure knowledge is shared within the team to enable them to work smarter and more efficiently
  • Work on ad hoc requests from clients as required

United States Residents: The base pay for this position ranges from $70,000 to $90,000. This role is also eligible for an annual discretionary bonus.
