Job Description:

This position reports to the VP, Associate General Counsel of Global Labor, Employment, Benefits, Privacy and Immigration. The successful candidate will be a self-motivated, enthusiastic and fast learning paralegal.

  • All duties will be performed under the direct supervision of counsel, and include, but are not limited to:
  • Prepare legal documents including template releases and other contracts, as well as draft responses to administrative document requests.
  • Assist in drafting policies, procedures and flow charts.
  • Coordinate periodic review of complex domestic and international data privacy policy and related compliance documents.
  • Coordinate with multiple segments and functions in order to monitor compliance with various US and global regulations.
  • Coordinate and assist with legal review of conflict of interest and “revolving door” forms.
  • Maintain a recordkeeping system for international employment contracts, policies and other documents.
  • Support employment-related investigations, litigation, arbitration, threatened litigation, EEOC charges and other employment-related administrative matters, including gathering of information and materials responsive to administrative requests and discovery requests.
  • Prepare and maintain up-to-date multiple administrative reports on employment-related matters.
  • Organize and index case files and privilege logs.
  • Assisting with document retention and discovery activities including coordinating the issuance and monitoring of employment litigation hold notices.
  • Determine and calendar deadlines.
  • Organize and maintain department files.
  • Process settlement shecks and open all legal billing matters for the team.
  • Maintain the HR-Legal SharePoint, including ensuring that (a) posted documents and organizational charts are current and (b) new HR employees are provided access upon hire.
  • Make travel arrangements for department members (including Intellectual Property function) and process expense reports.
  • Coordinate and work with outside law firms and internal teams on employment cases and administrative matters, and ensure proper matter is reflected in compliance with internal charging numbers.
  • General office operations and arranging Legal Department meetings and functions.
  • Other administrative duties as required.

Qualifications:

  • Bachelor’s degree in Business Administration or related field.

Preferred Qualifications:

  • Paralegal certification preferred.
  • Experience as a paralegal in a law firm or corporate environment.
  • Proficient in all Microsoft applications, including but not limited to Word, Excel, PowerPoint, Outlook
  • Must possess superior analytical and organizational skills with the ability to mine and collect data for cases.
  • Strong interpersonal skills and the ability to maintain confidentiality.
  • Ability to prioritize tasks and work independently with minimal guidance.
  • Strong organizational skills and attention to detail.
  • Excellent verbal communication skills with employees and management at all levels.
  • Strong spelling, proofreading, grammatical, editing and document formatting skills.
  • Commitment to customer focus and willingness to work in a team environment.
  • Prior experience in employment law, benefits and data privacy is beneficial, but not required. Strong consideration will be given to candidates with significant experience managing large, long-term projects that require collaboration with multiple parties to collect, organize and report information, in a law firm or corporate setting, such as class actions or internal complex company projects. Prior experience communicating with company executives preferred, but not required.
