We are seeking an experienced Senior Global Benefits and Immigration Specialist to join our Human Resources team. The successful candidate will be responsible for implementing, communicating and managing employee leave of absences benefits programs across multiple countries. This role requires a deep understanding of relevant leave laws and regulations to ensure compliance and manage the immigration process for our employees.

Leave of Absence Management:

  • Administer and oversee all types of global employee leaves of absence, including but not limited to medical leaves, parental leaves, personal leaves, and disability leaves.
  • Serve as the primary contact for employees, providing information, guidance, and support throughout the leave process.
  • Coordinate with HR, managers, and employees to ensure accurate and timely leave documentation, including leave requests, medical certifications, and other required forms.
  • Monitor and track employee leaves, ensuring compliance with applicable laws, policies, and regulations in partnership with the vendor.
  • Collaborate with payroll and benefits teams to ensure accurate leave tracking and seamless integration with payroll processes.
  • Stay updated on relevant leave laws and regulations to ensure compliance and provide recommendations for policy updates when necessary.

Immigration Management:

  • Manage the immigration process for international employees, including work permits, visas, and permanent residency applications.
  • Collaborate with legal counsel and external immigration consultants to obtain necessary documents and ensure compliance with immigration laws and regulations.
  • Provide guidance and support to employees and managers regarding immigration processes, including document preparation, deadlines, and requirements.
  • Maintain accurate records of immigration-related documents and monitor expiration dates to ensure timely renewals and extensions.
  • Stay current on immigration laws, policies, and procedures, proactively identifying potential issues or changes that may impact employees and the organization.
  • Create and regularly review immigration policies and procedures to ensure alignment with current laws and industry best practices.
  • Facilitate communication between employees, managers, legal counsel, and external immigration consultants to ensure a smooth and efficient immigration process.

Compliance and Reporting:

  • Ensure compliance with federal, state, and local laws, regulations, and company policies related to leaves of absence and immigration.
  • Prepare and submit necessary reports and documentation to government agencies, as required by law.
  • Maintain accurate and confidential employee records related to leaves of absence and immigration.
  • Regularly review and update leave of absence and immigration policies and procedures to ensure alignment with current laws and industry best practices.
  • Provide training and education to employees and managers on leave of absence and immigration policies and processes.

Qualifications:

  • Bachelor's degree in Human Resources, Business Administration, or a related field (or equivalent work experience).
  • Solid understanding of federal, state, and local laws and regulations related to leaves of absence and immigration.
  • Experience managing employee leaves of absence and/or immigration processes within a complex organization.
  • Familiarity with HRIS systems and leave management software is preferred.
  • Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously.
  • Excellent communication and interpersonal skills to interact effectively with employees, managers, legal counsel, and external consultants.
  • Attention to detail and accuracy in document preparation and record-keeping.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Problem-solving skills with the ability to think critically and provide practical solutions.
