Essential Duties and Responsibilities:

We are looking for Legal Operations Manager to drive the development and execution of JLO’s vendor/outside counsel management program to derive greater value from our relationships, and to oversee the department’s eBilling processes. While the focus will be outside counsel management and e-Billing, this role is also intended for broader impact and will help to drive other automation and process optimization initiatives for the department. The Legal Operations Manager will also help manage JLO’s trainings, communications and knowledge management needs.

The Legal Operations Manager will report to Sr. Director and Head of Legal Operations and will manage a small team of eBilling and legal operations specialists.

Responsibilities include:

Vendor Management and e-Billing:

  • Advance and own all aspects of JLO’s vendor/outside counsel and e-Billing program. Define procedures, maintain JLO’s worldwide firm roster, establish engagement guidelines, interface with firms, facilitate business reviews, and drive more accurate and predictable pricing through innovative fee arrangements.
  • Oversee team that supports spend management, accruals, forecasting, reporting and budgeting.
  • Maintain and update engagement letter templates and billing guidelines for outside counsel engagements. Be the primary reviewer of engagement terms, with inputs from managing attorneys as needed. Develop playbooks to standardize reviews of engagement terms.
  • With the help of JLO Operations Technology team, develop analytics for tracking governance with engagement terms (e.g. pricing and diversity goals), reviewing usage and driving effective pricing strategies.
  • Conduct business reviews, as well as JLO’s annual law firm summit to help build stronger business relationships for maximum business impact.
  • Analyze, optimize and automate existing processes to deliver better user experience, improved governance with established processes and more accurate financial reporting.
  • Maintain materials and provide trainings (e.g., templates, FAQs, quick guides, infographics, web pages, etc.) on law firm use and eBilling processes, as needed.
  • Oversee administration of JLO’s e-billing system (Legal Tracker) and associated processes, including firm management (onboarding/offboarding/communications), matter creation, and invoice reviews (conducted by third party)

Other Legal Operations Responsibilities:

  • Analyze, optimize and automate existing processes as needed to increase productivity of JLO teams.
  • Work with stakeholder groups to identify process/ technology gaps and then work with legal operations and other cross functional groups to design and implement solutions.
  • Act as the main ops point of contact for Legal training and communications initiatives, including internal and external website content management.
  • Stay knowledgeable of trends in the industry and bring best practices to the department.

Required Skills:

  • Demonstrated impactful experience in developing and managing an outside counsel program for global in-house legal departments including developing fixed fee and alternative fee arrangements.
  • Solid proficiency in Legal Tracker or other legal eBilling and/or matter management tools.
  • Experience developing and implementing legal department technology solutions (e.g. e-billing, self-service tools, workflow automation, e-signature, contract management etc.)
  • Strong critical thinking and problem solving skills, with the ability to synthesize complex issues and leverage data and benchmarks to provide best solutions.
  • Tech savvy, with a real passion for innovation, data and continuous improvement.
  • Strong interpersonal and communications skills to achieve most impactful results with internal and external stakeholders.
  • Understanding of relevant accounting principles to oversee and bring best practices to the financial management of a global legal department.
  • Highly productive with minimal oversight, with the ability to always maintaining focus on JLO’s most strategic goals.
  • Experience with Tableau/BI and other data analytics/ visualization tools is a plus.

Education and Experience:

  • At least 8 full years of related experience, including at least 4 years in-house experience in legal operations and 3 years of experience specifically in the areas of outside counsel management, legal billing, and spend management.
  • Outstanding academic record, with a university degree from a well-respected institution.
  • Advanced degree (e.g. JD, MA, MBA) is a plus.
