Responsibilities

We are seeking a highly motivated and detail-oriented individual to join Moody’s Legal Department. The Legal Operations Coordinator will work closely with the General Counsel, Assistant General Counsel and Contracts and Insurance Specialist as well as our internal ministry partners. Moody’s Legal Department is key partner to our Education, Radio, Publishing, and all support operations (Facilities, Finance, HR, ITS, Stewardship, etc.).
Essential Functions

  • Provide general administrative support to General Counsel, Assistant General Counsel, and, as time permits, to the Contracts and Insurance Specialist, including answering phones; opening and distributing mail; contract, document and report preparation, modification, compilation, redlining, formatting, and editing.
  • Schedule and make all arrangements for meetings and travel as requested by the General Counsel and Assistant General Counsel.
  • Monitor and manage workflows for the Legal Department.
  • Maintain Legal Department tracking systems for contracts, litigation holds and other matters, including data entry onto Excel spreadsheet (or such other contract management system used by the Legal Department) concerning each contract received for review by Legal Department, communicating with internal clients to obtain any missing information and follow up with internal clients about open items to ensure timely completion of the Legal Department’s review of contracts.
  • Daily file creation, record-keeping, tracking, and filing of electronic and hard copy documents.
  • Post updated documents and information to Legal Department webpage as requested by General Counsel and Assistant General Counsel.
  • Log, file, and process for payment approved Legal Department invoices.
  • Organize and maintain the Legal Department’s paper and electronic filing systems; create and maintain inventories of on-site and off-site files for easy retrieval.
  • Order and maintain organization of office supplies for Legal and Investment Departments.
  • Monitor and report on key performance indicators (KPIs) and other substantive metrics for the Legal Department that will better inform organizational decision-making, including matter and work product analyses.
  • Perform related and special duties as assigned.

Minimum Requirements

  • Excellent analytical, problem-solving, and communication skills
  • Able to thrive in a fast-paced environment
  • Strong organizational skills, detail oriented and accurate
  • Ability to proactively prioritize, respond to, and successfully manage multiple projects and deadlines independently and simultaneously
  • Strong computer skills including proficiency with Microsoft Office (MS Word, Excel, PowerPoint, Outlook and Teams) and Adobe software programs
  • Highest level of professionalism, confidentiality, and integrity
  • Work productively as an individual contributor and collaboratively as a team member.
  • 1-3 years administrative experience in a law firm, legal department, or other office setting.
  • Able to work in the US legally without sponsorship

Preferred Requirements

  • Bachelor's degree preferred

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
This is a full-time position: Monday-Friday 8:00am- 4:30pm.
No travel is expected for this position.
